Responsibilities:

  • Assist with the recruitment process, including posting job openings, screening resumes, and scheduling interviews.
  • Help coordinate employee onboarding and offboarding procedures.
  • Maintain and update employee records, ensuring confidentiality and compliance with company policies.
  • Support HR initiatives, such as performance reviews, training programs, and employee engagement activities.
  • Assist with benefits administration and answering basic HR-related inquiries.
  • Manage office supplies inventory and place orders as needed.
  • Coordinate office maintenance, including liaising with vendors and service providers.
  • Ensure a well-organized and efficient office environment.
  • Assist with scheduling meetings, preparing reports, and managing company correspondence.
  • Support internal events, meetings, and company-wide initiatives.
  • Support efforts to improve efficiency and effectiveness across the firm through process development, project management, and IT management in collaboration with the COO.
  • Manage and maintain policies, systems, and procedures (PSP) for the firm.
  • Create project/program management systems for strategic initiatives.
  • Optimize the use of technology software, tools, and equipment to enhance productivity and streamline operations.
  • Maintain organized digital filing systems.
  • Maintain confidentiality of all client and personnel information in accordance with firm policies.
  • Perform any other duties assigned by the supervisor.

  • Technology proficiency - proficient in Microsoft Office Suite (Word, Excel, Outlook); HR software experience is a plus.
  • Excellent oral & written communication - communicates clearly and professionally in all interactions.
  • Critical thinking & decision-making - identifies solutions to challenges, prioritizes tasks effectively, and exercises sound judgment.
  • Adaptability - thrives in a fast-paced environment with shifting priorities.
  • Proactive approach - takes initiative in process improvements and technology enhancements.

Education and Experience

  • Associate's or Bachelor's degree in Business Administration, Human Resources, or a related field (preferred).
  • 1-3 years of relevant experience in an office support or HR role.
  • Project Management training (preferred).

Compensation

Compensation is commensurate with skill and experience and will include a base salary plus results-based incentives.
