As part of the Arena Programming and Marketing Department, the Event Booking Coordinator will report to the Director of Booking and collaborate closely with Event Managers at Lenovo Center. This role involves supporting the scheduling of both internal and external events and overseeing the coordination of assigned events. The Event Booking Coordinator, alongside the department team, will work closely with event representatives and venue staff to ensure the smooth and successful execution of all events at Lenovo Center.

Essential Job Functions
- Assist in managing the venue’s booking calendar system, ensuring accurate and timely scheduling of events.
- Respond promptly and professionally to inquiries from potential clients and conduct site visits as needed.
- Research events and identify potential business opportunities for the venue, including the use of hospitality spaces.
- Coordinate with the venue management team via written and verbal communication to confirm event dates, times, and resource availability.
- Create detailed event data and tracking reports as directed.
- Monitor insurance and contract compliance (deposits, signed contracts, etc.) for assigned events, and provide weekly tracking and status reports.
- Manage Lenovo Center gift certificate program.
- Serve as the primary contact for internal bookings and non-ticketed events.
- Oversee the planning, organization, and operational needs for assigned events, working with both internal and external event representatives, ensuring clear communication with all stakeholders.
- Provides support for other events as assigned.
- Collaborate with clients and the venue management teams to design and execute event layouts and configurations.
- Ensure venue policies and procedures, as well as local and state guidelines, are upheld on both event and non-event days.
- Provide exceptional customer service to ensure client satisfaction before, during, and after events.
- Work a flexible schedule, including nights, weekends, and holidays when needed.
- Manage multiple events, projects, and tasks simultaneously, maintaining proficiency and meeting deadlines.
- Perform other duties as assigned.
- Bachelor’s degree from an accredited college or university in sports management, hospitality management, business administration, or a related field preferred. Relevant education and experience may be substituted as appropriate.
- Minimum of 2-3 years of experience in booking, event coordination, or venue management preferred.
- Proficiency with booking systems, event management software, or calendar management tools.
- Maintain strict confidentiality of all information and issues worked with.
- Ability to sustain a positive attitude and strong decision-making skills in a fast-paced and active work environment.
- Strong organizational, multitasking, and problem-solving skills.
- Willing to be proactive and take initiative with a solution orientated mindset.
- Must be able to establish and maintain effective working relationships with other employees, users, vendors, and labor companies.
- Proficient in use of Microsoft Office.
- Excellent verbal and written communication skills.
- Must be able to work long hours including nights, weekends and holidays as events dictate.
- Must be able to stand and walk for long periods of time and climb stairs as needed. Must be able to lift objects up to 50 lbs.
- Must pass a criminal background check.
