Job description
The Customer Service Representative / Dispatcher position is responsible for entering complete and accurate orders on the computer to maximize service and minimize non-productive time of equipment and personnel.
ESSENTIAL DUTIES AND RESPONSIBILITIES
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
- Answer incoming customer calls, take phone calls from sales personnel, front desk etc. Make phone calls to customers confirming existing orders, addresses, product information.
- Communicates relevant company policies for processing and payment of orders to customers
- Promote value added products that may be useful to the customer’s needs
- Process payments from customers (i.e. credit cards and CODs)
- Inform other dispatchers / CSR of deviations to the schedule, so the schedule can be updated
- Receive inquiries from drivers on behalf of customers and relay relevant information to the dispatch / CSRs.
- Relay information to the drivers via electronic / phone communication as instructed. Keeps communication open to relay correct job site and related directions by constant monitoring
- Inform other CSR / Dispatchers & plant managers of any special material needed for a job
- Generate tickets to plants
- Dispatch trucks to jobsites
- Track drivers on GPS navigation system
- Notify customers, sales & managers of problems on jobsites
- Keep track of driver’s work hours
- Notify Safety, Dispatch and Plant managers of any accident or safety related issues
- Adjust orders & plants assignments to ensure good service to customers
- Must be familiar with roadways within the areas of Yancey, Buncombe, Madison, Transylvania, McDowell, Haywood and Hendersonville counties.
- Other duties as assigned
Physical Requirements
- Must be able to work in a heavy industrial production environment, exposed to weather elements, noise, vibrations, dust and temperature extremes
- Must be able to wear all required personal protection equipment as needed when outside of the dispatch office, including (but not exclusive) safety glasses, hard hat, hearing protection, etc.
Minimum Qualifications
- High School diploma or general education degree (GED) and/or 1-year of telephone service or order taking in a business environment
- Concrete, Aggregate and Building Products training is a plus
- Strong customer service experience
- Must be able to multitask and work in a fast-paced environment
- Must have above average computer skills, typing skills, comprehension skills
Knowledge, Skills Abilities
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
- Ability to speak effectively to customers, sales managers, project managers.
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
- Ability to compute rate, ratio, and percentage and to draw and interpret bar graphs. Convert fractions to decimals and vice versa
- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
- Ability to deal with problems involving several concrete variables in standardized situations.
- Bi-lingual fluent in Spanish helpful.

- Telephone service or order taking in a business environment: 1 year (Preferred)
- Concrete, Aggregate and Building Products: 1 year (Preferred)
- Dispatch: 1 year (Preferred)
- Computer skills (keyboard shortcuts, Microsoft Office proficient, dispatching software, GPS navigation software, accounting software all helpful)
