Description
- The Healthcare Professionals Coordinator will support the Direct Supervisor as well as the Addiction Psychiatrist in charge of the Aviation Program.
- Provide administrative oversight of Outlook calendar.
- Provide scheduling for Healthcare and Aviation Programs, both clinical and administrative.
- Provide intradepartmental and interdepartmental communications
- Provide written correspondences
- Ensure documentation of supervision notes
- Provide administrative support for Professionals/Aviation Group
- Support the Medical Administrator, Florida.
- Support integrity of documentation in Medical Record to ensure reporting is accurate for Healthcare Professionals and Aviation Programs
- Provide cross coverage for administrative staff in the Medical Services Department
- Collaborate with the treatment team and the aviator to gather the necessary records and explain treatment and aftercare expectations to the team at the time of their treatment experience.
- Communicate with the airline staff, AMEs and the various EAP's so that their requests for the documentation and dissemination of the medical record takes place in a timely fashion
- Anticipate potential barriers and points of miscommunication so that these can be avoided early in the process.
- Business development and referent management.
- Timely provision of medical records as well as communication of aftercare recommendations
- Facilitate referrals, arrange care in the community, and collate documents for final HIMS evaluations

- Ability to use / maintain office equipment

- Sitting, standing up to 4 hours to train
- Lifting up to 20 pounds
- Bachelor’s Degree in human services required or a minimum of 5-7 years’ experience working in a behavioral health setting.
- Minimum 3 years’ experience in administrative, clinical, and/or medical records and progressive office/administrative assistant skills required.
- Extensive experience in working with Aviation Medical Examiners (AME), the various HIMS directors of the airlines, familiarity with aviation norms, and working knowledge of the requirements of an aftercare program for pilots.
- Experience with working with physician health programs, medical boards, dental boards, and nursing boards.
- If in recovery, 1-year continuous sobriety preferred
- Microsoft Office – Excel / Power Point / Word
- Ability to acquire knowledge of Caron Programs
- Ability to communicate effectively both verbally and written
- Ability to prioritize and perform/coordinate multiple assignments and tasks simultaneously
- Ability to interact professionally with patients, referral sources and the public
- Must be able to function with some supervision
