Carondelet High School - School Operations Manager
Carondelet High School (About us) is looking for a full-time School Operations Manager for the 2025-2026 School Year. The School Operations Manager is part of the Academics Administrative team team which works to create an environment where all faculty, staff and students are provided the resources they need to succeed at Carondelet.
The School Operations Manager is also the first contact representative for the school to the community at large and as such, needs to maintain a positive, professional and enthusiastic attitude in dealing with the school’s various stakeholders.
Summary
The School Operations Manager plays a pivotal role in ensuring the seamless and efficient operation of all school administrative functions. This position oversees office management, substitute teacher administration, event logistics, project coordination, and security program management, while providing support for AP and College Board program administration and athletics logistics.
The School Operations Manager partners with all school departments to enhance efficiency, refine operational protocols, and implement best practices to optimize workflow. Additionally, they evaluate and strengthen the role of the front office team, ensuring they provide high-quality support across all school divisions.
This role serves as the primary point of contact during the summer months, ensuring continuity of school operations while other administrators may be on break. The manager also oversees the coordination of the academic summer program, collaborating with the Community Engagement Manager, who organizes ancillary programming.
As a member of the Senior Leadership Team (SLT), the School Operations Manager attends planning and strategic meetings, contributing insights on logistics, operations, security, and efficiency improvements.

Key Responsibilities
Logistics & Event Management:
Oversee the school calendar and event management system, coordinating internal and external events.
- Serve as the primary point of contact for external event requests, managing contracts and vendor relationships.
Manage transportation logistics, including bus scheduling and vendor coordination.
Office & Administrative Management:
Supervise and manage office staff, ensuring daily operations run smoothly.
- Oversee front office operations, ensuring a professional, welcoming, and service-oriented environment.
- Manage official school documentation, including correspondence, reports, and internal communications.
- Maintain school-wide operational policies and procedures, ensuring compliance with best practices.
Serve as a support to Office Assistant for substitute needs
Project Coordination & Operational Oversight:
Oversee major school projects, ensuring timely execution and alignment with school goals.
- Serve as a liaison between departments, facilitating clear communication and project success.
- Continuously evaluate workflows, identifying areas for operational improvement.
- Provide regular status updates to school leadership, highlighting progress and key operational insights.
Oversee the Makeup testing program
Cross-Department Collaboration & Process Improvement:
Partner with all school departments to enhance operational efficiency and ensure seamless collaboration.
- Assess current protocols and procedures, making recommendations for process improvements and greater efficiency.
- Identify gaps in administrative support, ensuring that front office staff is leveraged effectively to meet school-wide needs.
Implement best practices for operational management and workflow improvements across departments.
Senior Leadership Team (SLT) Membership & Strategic Planning:
Actively participate as a member of the Senior Leadership Team (SLT).
- Attend strategic planning meetings, offering operational insights and logistical expertise.
- Develop data-driven recommendations to enhance school operations.
Work collaboratively with leadership to ensure alignment on school-wide priorities.
Primary Summer Responsibilities:
Serve as the main point of contact during summer months, ensuring uninterrupted school operations.
- Oversee vendor management, facilities coordination, and summer maintenance.
Manage administrative inquiries, event logistics, and key operational projects.
Academic Summer Program Coordination:
Oversee the academic summer program, ensuring seamless scheduling, staffing, and execution.
- Work closely with faculty to support summer course logistics.
- Collaborate with the Camp Director, aligning academic and ancillary programming.
Serve as the primary point of contact for students, parents, and faculty regarding summer programming.
Logistics Support for Athletics Operations:
Support the Athletics Department in managing logistics for athletic programs.
- Support scheduling practice and competition field scheduling, ensuring efficient use of facilities.
- Support the coordination of travel logistics for athletic teams, including transportation, lodging, and meal arrangements.
- Ensure compliance with athlete eligibility documentation, waivers, and league regulations.
- Provide logistical and scheduling support for coaching staff to enhance overall athletics management.
Help establish processes and protocols for each sports season, ensuring efficient setup, management, and wrap-up
Security & Badging Program:
Serve on the School Security Committee, contributing to safety policies and emergency response planning.
- Oversee the badging system (Raptor), ensuring proper credentialing for staff, faculty, and visitors.
- Manage background check processes and visitor access, ensuring security compliance.
Maintain and enforce school safety protocols, coordinating with security personnel as needed.
AP & College Board Program Administration (Support Role):
Assist in AP exam registration, ordering, and distribution of test materials.
- Support the AP coordinator in liaising with the College Board, students, parents, and faculty.
- Help develop and communicate the AP exam schedule to ensure compliance with deadlines.
Secure testing locations, proctors, and accommodations for students with special needs.

Required:
Bachelor's degree in Business Administration, Logistics, Education, or a related field (preferred).
- 5 years of experience in operations, administration, or logistics, preferably in an educational setting.
- Proven leadership and team management experience.
- Strong organizational, strategic problem-solving, and decision-making skills.
- Proficiency in Google Workspace (Docs, Sheets, Calendar, etc.).
Excellent communication and interpersonal skills.
Preferred:
Experience working in a Catholic school or familiarity with Catholic educational values.
- Knowledge of student information systems and accounting software.
- Background in security management, school safety, and vendor coordination.
- Familiarity with Raptor badging systems and safety compliance protocols.
Proven ability to handle confidential information with discretion.
