What are the responsibilities and job description for the Search Representative position at Carpenters Southwest Administrative Corporation?
Under the direction of the Director of Internal and Regulatory Compliance, the Search Representative will have significant responsibility for locating a participant’s and beneficiary’s whereabouts through investigation, research, and networking. Will assist the Carpenters Services Administrative Corporation in ensuring that we have all current contact information in order to guarantee proper communication of benefits policies and payment of benefits owed to a participant or beneficiary. The Search Representative will assist with executing required steps for complying with Regulatory requirements for locating participants due a benefit, to include, but not limited to, phone calls, mailings, email, etc. They will also be tasked with finding potential beneficiaries with the purpose of paying out death benefits due and assisting with other departmental projects as assigned.
Position Functions and Responsibilities:
- Locate participants and/or beneficiaries using various tracking tools and techniques including the use of external search locator service providers, internet, public records, Local Unions, employers, other internal departments, family members, other participants, etc.
- Communicate with third parties for the purpose of acquiring information on a participant’s location.
- Review and analyze participant documents, Beneficiary Cards, Enrollment Forms, and any other in-house documents for location purposes.
- Verify participant or beneficiary information and properly document accounts in our system.
- Provide feedback and suggestions based on observations of the day-to-day location efforts.
- Investigate death cases where a benefit is to be paid out, but we are lacking beneficiary information.
- Maintain positive relationships with all levels of staff, management, vendors, participants, and colleagues while providing top quality service.
- Answer participant questions via phone, E-mail, written correspondence, and in person
- Provide missing participant census information as a report or individually as needed.
- Assist with other duties or special projects as assigned by the Director of Internal and Regulatory Compliance.
- Performs other related administrative duties as assigned.
- Must demonstrate excellent communication, analytical, investigational and organizational skills
- Track and maintain current participant information via our administration software and excel.
- Must be detail oriented and exercise good judgment
- Capable of effectively operating in a fast-paced, high-volume environment.
- Willing and able to work overtime and weekends as needed based on work demands.
- Must exhibit good interpersonal skills and must be a team player.
Required Qualifications and Skills:
- Minimum of High School Diploma or equivalent.
- Self-motivated and able to work with minimal supervision.
- Knowledge of benefit administration and experience in examining operations and procedures, preferred.
- Familiarity of governmental/legislative regulations (ERISA, DOL, PPA).
- Knowledge of HIPAA, ACA, and ERISA along with broad experience with client services, preferred but not required.
- Knowledge of working with collectively bargained personnel, preferred but not required.
- High level of proficiency with all MS Office Suite products and ability to understand relational databases.
- Proficiency in Spanish is required (read, write, speak, translate).
- High level of integrity and discretion in handling all confidential company and participant information.
- Detailed research, documentation, analytical and reporting skills.
- Proficient, detail oriented, organizational and communication skills (written/verbal).
- Ability to complete daily tasks with a high degree of independence, initiative, and judgement.
- Strong sense of ownership, self-accountability, and urgency to manage assigned projects.
- Dedicated team player with an interest in processing efficiency and effectiveness.

Travel
- Minimal to no travel. Occasional travel to business related events, offices and/or seminars may be required.
