Essential Job Responsibilities:
The Administrative Assistant provides general office support for a variety of clerical activities and tasks including answering incoming calls, managing mail, requisitioning supplies, organizing office communication and activities on a day-to-day basis. This role may also be responsible for cargo inspections within the terminals.
- Answers and direct phone calls
- Organizes and schedule meetings and appointments
- Maintains contact lists
- Produces and distribute correspondence memos, letters, faxes and forms
- Orders office supplies
- Provides general support to visitors with general Pier information
- Assists truckers with receiving and delivery at both office and outside on the terminal
- Assists customers with general information
- Inputs vessel and cargo information into the TOS such as, but not limited to: B/L's, hatch list, manifest confirmations, etc.
- Records daily delivery and receiving
- Other duties as assigned
Outside Office Responsibilities:
- Cargo inspection including verification, cleanliness, condition, measurements
- Confirms cargo location/spots
- Confirms all paperwork is up to par regarding cargo
- Makes sure communication is in place with union staff
Qualifications:
- Proven administrative assistant experience
- Knowledge of office management systems and procedures
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills
- Proficiency in MS Office
Work Environment:
- The office staff will be outside on their feet 3-5 times a day several times a week depending on the workload. It is a regular part of their job to be on their feet walking at least 100 ft., depending on the location, around the terminal(s) to verify cargo and assist with delivery of cargo and to communicate with other staff.
- Exposed to outside weather conditions
- The noise level in the work environment could be potentially loud
