Job Summary:
POSITION TITLE: ADMINISTRATIVE ASSISTANT TO THE ACTIVITIES DIRECTOR AND ASSISTANT HIGH SCHOOL PRINCIPAL
QUALIFICATIONS:
1. Ability to communicate verbally and in writing to the public, administration, and employees.
2. Adequate typing skills.
3. Human relations skills in dealing with parents, administrators, and employees.
4. Ability to carry out word processing and database computer operations.
5. Ability to understand and implement policies.
6. High school diploma or equivalency certificate.
7. Post high school administrative assistant training and/or employment experience in administrative assistant work.
REPORTS TO: Activities Director and Assistant Principal
CONSULTS WITH:
1. All school administrators
2. All school administrative assistants
3. Teachers and activity moderators
4. Classified staff
POSITION GOAL:
Assume responsibility for the administrative assistant duties associated with providing for an efficient, business-like and well organized activity program. Assume the role of administrative assistant to the Assistant High School Principal
PERFORMANCE RESPONSIBILITIES:
1. Assists the Carroll Community School District staff to establish a positive public relations image for the school through effective handling of incoming telephone calls, personal contacts with parents, parent groups, citizens of the district, staff members and all visitors in the Carroll Community School District.
2. Performs word processing functions for the activities director/assistant principal
3. Provides data base management assistance to the activities director/assistant principal
4. Provides administrative assistance for 7-12 activities.
5. Assists the activities director/assistant principal with the management of the good conduct policy and academic ineligibility.
6. Assists the Activities Director in the organization and scheduling of all interscholastic high school athletic events.
7. Assists the Activities Director in the arrangement of transportation for activities.
8. Assists the activities director with facility rentals and the calendar.
9. Assists the Activities Director in arranging hotels for participants and coaches when necessary.
10. Assists the Activities Director in planning seasonal and/or annual recognition programs for high school athletes.
11. Assists the Activities Director in filing accurate annual reports with the IHSAA and the IGHSAU.
12. Assists the Activities Director in the preparation of a coaches'/sponsors' handbook.
13. Assists the Activities Director in hiring officials for athletic contests. Prepare follow-up reminders and payment requests for these officials.
14. Assists the activities director in scheduling staff to work duties throughout the year. Prepare follow up reminders to all workers.
15. Processes incoming correspondence. Verifies that all 7-12 student athletes have completed their online registration and physicals are turned in before participation begins.
16. Is responsible for the development and distribution of all middle school and high school programs and works with the booster club on membership for the programs.
17. Coordinates the online ticketing passes for students and staff in the district and alumni.
18. Assumes other duties as requested by the superintendent, building principal, or designee.
