Who We Want 

We are seeking a highly organized, proactive, and experienced Office Manager to support the daily operations of a fast-paced wealth advisory office located in Franklin Lakes, NJ. This role is critical in ensuring a welcoming and efficient environment for both clients and staff, while maintaining smooth back-office and front-office functions.

The ideal candidate will bring strong administrative and project management skills, a high level of professionalism, and the ability to support executive leadership. This individual will take ownership of operations, help drive internal improvements, and contribute to a collaborative, client-focused team culture. 

This is a hands-on role with diverse responsibilities, including executive support, vendor and facilities coordination, process improvement, and involvement in marketing and special projects. A strong understanding of technology systems, particularly Salesforce, is essential.

 

What To Expect 

Office Management & Administration 

  • Oversee day-to-day office operations, ensuring a welcoming and efficient environment for staff and clients
  • Take ownership for projects, follow-up, and completion
  • Support Relationship Manager to ensure smooth operation of business and front office area
  • Manage office by coordinating with vendors to maintain office and equipment
  • Consistently look for ways to improve internal processes and procedures
  • Create a cohesive, collaborative team environment

Executive Support 

  • Provide comprehensive administrative support to Managing Partner
  • Be aware of office operations in the Managing Partner's absence
  • Manage executive calendar, including:
    • Scheduling and managing meetings, appointments, and events
    • Prioritizing urgent meetings and resolving scheduling conflicts
    • Sending reminders and preparing the executive for upcoming commitments
  • Process expense reports, track office budget adherence, and coordinate timely reimbursements. Ensure compliance aspects of expenses and activities are properly logged
  • Oversee notes, lead with follow-up tracking and project completion for office

Client Service & Meeting Support 

  • Assist Wealth Advisors as requested
  • Stay educated and well-versed in service and technology offerings to clients

Technology & Systems Management 

  • Serve as the Salesforce expert for the team
  • Coordinate expense reports for officers

Marketing & Special Projects 

  • Assist the Relationship Manager with various marketing tasks
  • Support event coordination, including firm retreats and service projects
  • Assist in planning and timely execution of special projects, including:
    • Research and data gathering
    • Preparation of reports and presentations
  • Initiate and implement innovative strategies to improve reliability, ease of doing business, and personal attention

 

What You Need 

  • College degree and 5 years of administrative experience working with executives
  • Experience working in a fast-paced environment
  • Ability to juggle multiple priorities 
  • MS Excel, Word, Outlook, and PowerPoint proficiency to produce professional documents

The total rewards expected for this role include:

  • Starting annual base salary between $99,100 - $104,000.
  • Variable compensation potential (Bonus and/or commissions)
  • Competitive benefits including 401(k) with company contribution, PTO, Parental Leave, Sabbatical Leave, Medical, Dental, Vision, Health Savings Accounts, Flexible Spending Accounts, Life and AD&D Insurance, Short and Long-Term Disability, Work/Life Benefits and Holistic Wellbeing Programs.
