About the role:
We are seeking a Transactional Legal Assistant who is highly organized, proactive, and eager to contribute to our dynamic, high-performing legal team. As a key member of our transactional team, you will play a vital role in facilitating corporate, real estate, and business transactions by preparing documents, coordinating schedules, maintaining meticulous records, and ensuring all deadlines are met. - The firm handles both litigation and transactional matters, and this role will focus on assisting attorneys in corporate, real estate, governmental, and other transactional practice areas
- Ideal candidates will have some administrative experience, the ability to work as part of a team, and strong problem-solving skills
- Assist attorneys with document preparation, including drafting, editing, and proofreading contracts, agreements, and closing documents
- Manage complex calendars for attorneys, including scheduling meetings, closings, and conference calls
- Organize and maintain transactional files, both electronic and physical, ensuring accuracy and accessibility
- Conduct basic research and compile due diligence materials as requested
- Prepare closing binders and assist with post-closing documentation
- Answer and screen calls, relay messages, and respond promptly to client needs via email or telephone
- Coordinate with clients, title companies, and other parties to schedule meetings and ensure timely completion of tasks
- Provide general administrative support, such as handling mail, making travel arrangements, and other tasks as needed
Core Competencies:
- Strong computer skills, including proficiency with Office 365
- Assume responsibility for assigned projects and tasks
- Navigate various electronic databases and document repositories
- Strong research skills and proficiency in using various research tools, including the Internet, Westlaw, PACER and other media and financial services sites
- Excellent analytical and troubleshooting skills
- Communicate (this is a very high priority) effectively and timely with attorneys, team members, clients and third party individuals or companies
- Deal courteously / effectively with others while working independently, or in a team setting, under limited supervision
- Handle confidential/sensitive matters
- Manage multiple projects and assignments, as well as shifting responsibilities and deadlines while under pressure
- Calendaring and superior organization skills
- Excellent written and oral communication skills
- Great attention to detail
- Strong time management skills, with the ability to perform with general directions
- Positive attitude, servant leadership qualities, and team collaborator
