Clinic Office Coordinator - Topaz Ranch - Full Time
POSITION SUMMARY
This position is responsible for coordinating daily activities for a small-scale clinic. Performs staff duties as needed in support of the clinic.
POSITION REQUIREMENTS:
Minimum Education
- High School Diploma or equivalent
- Bachelor’s degree preferred
Minimum Work Experience Required:
- Reading, writing, excellent spelling, organizing, and filing skills.
- Professional phone etiquette.
- Customer service skills.
- Strong computer, excel experience and word processing skills.
- Knowledge of general accounting practices.
Minimum Work Experience Preferred:
- Previous medical clinic office supervisory experience preferred.
- Bi-Lingual preferred.
POSITION ESSENTIAL FUNCTIONS:
Management
- Provides direction and coordinates daily operations of a small-scale clinic.
- Works in conjunction with the entire clinic staff to provide a patient centered care team with effective communication being the common denominator.
- Orders office supplies, medical supplies and coordinates repairs and maintenance projects.
- Provides leadership to staff.
- Responds to staff requests in a timely manner
- Ensures accurate and timely communication
- Encourages and exhibits professional communication
- Ensures team members meet the needs of the practice, physician and midlevel providers
- Prepares schedules
- Determines staffing levels
- Posts open positions in a timely manner
- Expedites screening and interviewing process
- Ensures rapid processing of new employees
- Oversees payroll processes
- Ensures the competency of all staff
- Determines individual goals and objectives
- Ensures staff is oriented to the practice policies and procedures
- Ensures all evaluations are completed annually and according to organizational timeframes.
- Promotes staff development
Communication
- Answers telephones, routes callers, takes messages and provides routine information to callers.
- Returns Phone calls in a timely manner
- Relays messages to appropriate staff members
General Duties
- Works with team to ensure the accurate entry of charge data to include appropriate CPT and ICD - 9 codes.
- Works with physicians to ensure all encounter forms are completed at time of service and coding is accurate and representative of the patient visit.
- Posts payments from Patients and Third Party payers
- Balance payments with remittance advice
- Prepare payments for deposit
- Assist all team members in the completion of tasks at the beginning and end of day
- Provide assistance to practice manager as needed
Triage
- Answer incoming telephone calls
- Triage patient phone calls
- Assess the level of need for each patient call
- Direct or assist in the solution for the patient
- Make follow up phone calls as necessary
- Work with Medical Assistants and physicians to solve patient problems
- Work with other medical facilities to solve patient problems
- Respond to patient issues and create solutions
- Document all interaction for inclusion in the patient electronic medical record
- File information as needed, scan information as needed
Scheduling
- Schedule all new and existing patient visits
- Provide assistance in preparing the patient for their next visit
- Mail out any necessary forms to patient's home prior to visit
- Make patient reminder calls when appropriate.
- Work with Medical Assistants and Physicians to create an efficient and effective schedule
- Serve as an ambassador to patients
- Works with physicians to ensure all encounter forms are completed at time of service and coding is accurate and representative of the patient visit.
- Posts payments from Patients and Third Party payers to EMR, patient form and scan documents.
- Collect Copay and check in patient.
- Schedule CVMC Radiology and check out patient.
- Schedule follow up appointment
- Balance payments with remittance advice
- Prepare payments for deposit
Authorizations/Referrals
- Obtain necessary authorizations from insurance companies for procedures and tests performed in office and to outside vendors and physicians.
- Send necessary records to outside vendors and physicians to facilitate referral.
- Schedule referral when appropriate and notify patient.
- Keep Accurate logs of referrals made.
