What are the responsibilities and job description for the Maintenance Coordinator - Portland position at Carson?
Were looking for a responsible, motivated individual to fill a temporary position of Maintenance Coordinator. This position is expected to start in March and go through August, and you will be provided with ample training to ensure you have the necessary tools to assist the Maintenance team.
Main Functions
- Manage all Vehicle Master and Maintenance files.
- Renew and track all DMV registration, DEQ, OR / WA Vapor testing and Motor Carrier paperwork.
- Process invoices through accounting, and request purchase orders as necessary.
- File documents with state or county agencies.
- Tracking of vehicle assignments, transfers, purchases and sales.
- Assist with vehicle maintenance scheduling.
- Issue purchase orders to vendors, other departments, and outside shops as needed.
- Work in EMDECS, Concur, and other software programs associated with the Shop Office.
Additional Functions Include:
- Work internally with accounting, IT, and other departments as issues arise.
- Coordinate with accounts payable to ensure payments have been completed to vendors.
- Maintain accurate records of service and vendor information in the shop management system.
- Oversee communication with vendors, suppliers, and other departments to ensure seamless operations
- Perform general administration duties and other tasks as required.
- Ensure compliance with company policies, safety regulations, and industry standards.
Qualifications and Requirements
- High school diploma or equivalent. College degree and/or relevant training / certifications are a plus.
- Ability to multi-task and work efficiently in a fast-paced professional environment.
- Ability to comprehend and meet time-sensitive deadlines.
- Possess strong computer and math skills.
- Experience with Microsoft Outlook, Windows & Excel.
- Successfully complete a pre-employment drug screen and background investigation.
- Must have a valid drivers license with clean driving record.
- Excellent communication and customer service skills.
Working Conditions Include:
- Majority of work conducted in office environment. Some access to a PPE required Shop environment as necessary. May be required to drive in inclement weather.
- Must be able to lift, bend, stoop, pick up, and move objects up to 35 lbs.
- Work schedule will vary and may include work on evenings, weekends, and holidays due to special events, inclement weather, and other projects related to timely distribution of product and services.
