Administrative Assistant and Bookkeeper for Career and Technical Education
QUALIFICATIONS:
1. High School diploma
2. Demonstrate aptitude or competency for assigned responsibilities.
3. Two or more years’ experience in an office environment with responsibility for a variety of clerical duties or in a related position. Preference will be given to actual bookkeeping experience.
4. Such alternatives to the above qualifications as the Board may find appropriate and acceptable.
REPORTS TO: Director of Career and Technical Education
SUPERVISES: N/A
JOB GOAL: To support the duties of the Director of Career and Technical Education and post and monitor all bookkeeping functions regarding expenditures of Career and Technical Education.
PERFORMANCE RESPONSIBILITIES:
- Follows all rules, policies, and procedures of Carteret County Public Schools, along with state and federal regulations pertaining to bookkeeping statutes and procedures.
- Performs usual administrative office routines.
- Creates Excel spreadsheets for budget requirements for district Career and Technical Education for the district.
- Works with the finance department to ensure budget accuracy and to initiate any necessary budget amendments.
- Verifies expenditure requests and creates manual and E-Pro purchase orders for both the district and schools as needed.
- Posts expenses daily and monitors the status of expenditures versus the budget.
- Monthly, reviews CTE budget versus actual reports and reconciles expense accounts.
- Tracks the status of expenditures versus budget.
- Maintains financial, application, inventory, and other files as needed.
- Monitors expenses as they come in against the system approvals and budgets.
- Works with others in the department on an as-needed basis and assists with special projects when necessary.
- Prepares all necessary reports for state audit purposes.
- Types a variety of materials, such as letters, reports, memos, etc.
- Assists in receiving and routing incoming calls.
- Maintains filing system.
- Other duties as assigned by the Supervisor.

SALARY: Local Grade 57
EVALUATION: Performance of this job will be evaluated in accordance with the provisions of the Board’s policy on the Evaluation of Support Personnel.

- Ability to maintain confidentiality of financial, personnel, and student information.

- Ability to communicate clearly and concisely, both orally and in writing; ability to communicate with school personnel, parents, and central office staff while complying with the confidentiality requirements in local, state, and federal policies and statutes.
- Ability to establish and maintain effective working relationships as necessitated by work assignment.
- Demonstrate functional knowledge of computers and all aspects of the Microsoft Office Professional and Google software programs, as well as software programs implemented by the district or office.
- Maintains strong organizational skills.
- Ability to work with a high degree of accuracy.
- Ability to operate a motor vehicle.
- Physical ability (able to exert up to 20 pounds of force occasionally) and dexterity to perform the duties and responsibilities of the job, such as, walk, lift, stoop, stand, grasp, kneel, crouch, and key requiring repetitive motions.
