Job Title: School Secretary/Administrative Assistant to Principal
Responsible to: Building Principal
Qualifications:
- Must be a motivated, highly confidential, responsible individual.
- Good communication skills, both verbal and written.
- Budget and accounting skills.
- Basic computer knowledge (Word, Excel, Quicken, Print Shop and Internet).
- Good typing skills.
Primary Functions:
- To keep the school running smoothly and efficiently while maintaining a friendly and pleasant attitude.
- To aid faculty, staff and parents in whatever situation arises with complete confidentiality and professionalism.
- To be able to multi-task and be flexible at all times.
General Responsibilities:
- Prepare correspondence and reports.
- Receive visitors and process information requests.
- Maintain accurate accounting and student population records.
- Follow purchasing and inventory procedures.
- Help teachers with specific tasks.
- Serve as mediator between faculty, staff, parents and the principal.
- Fill in for the school nurse and perform whatever duties are needed in a highly confidential manner.
Specific Duties:
- Mail distribution.
- Answer and direct phone calls.
- Contact and coordinate substitute teachers.
- Order all supplies for the school using a purchase order system.
- Keep accurate attendance records.
- Create and distribute all correspondence from school to parents.
- Maintain and order supplies for all office equipment, including copy and fax machines.
- Run monthly reports.
- Process Free and Reduced Lunch applications.
- Handle all banking procedures.
