The Opportunity
Carver Companies is seeking an Administrative Assistant to join our team. The Administrative Assistant is responsible for supporting our equipment and maintenance team by performing various tasks at our office located in Coeymans, NY.
Key responsibilities include
- Review timecards for accuracy to ensure cost are being allocated correctly
- Payroll data entry
- Answers phones and routes calls as necessary
- Receive and review daily equipment inspection forms
- Assist shop manager on creating, managing, and closing work orders
- Create Pro Forma invoices for outside repairs
- Scan and filing of documents
- Complete credit card reconciliations for members of management staff
- Track, maintain, and order office supplies
- Employee assistance with HRIS system including password resets and assisting with downloading the app onto phones
- Complete monthly fire extinguisher and first aid inspections
- Scan and save DVIR's into software
- Maintain driver files and pull driver abstracts as needed
- And other duties as necessary
- Excellent communication skills, both verbal and written
- Strong interpersonal skills
- Proficiency in office software (Microsoft Office Suite)
- Ability to multitask and prioritize tasks effectively
- Detail-oriented with strong organizational skills
