Statement of Purpose:
Responsible for the coordination of agency volunteer and case management operations including volunteer supervision and recognition. This position also assists in recruitment efforts of new volunteers.
Essential job Functions:
Case Management:
- Assume management responsibility for no more than 30 volunteers and/or 45 cases, reviewing new cases and assigning appropriate volunteers to each case in consultations with the Program Executive Director.
- On an “on-call basis,” be readily and easily accessible to all CASA volunteers, providing support and assistance throughout a case. Be accessible by email and phone.
- Prepare and distribute assignment documentation to the volunteers.
- Review, edit and approve CASA reports and recommendations prior to sending to all court hearings.
- Attend court hearings and meetings with CASA volunteers. Introduce CASA volunteers to system professionals and facilitate interagency collaboration.
- Maintain a monthly calendar of all scheduled hearings on all cases and notify CASA volunteers of upcoming hearings.
- Upon case closure, ensure electronic records are updated with all relevant information, collect all case documents relating to the child/case from volunteer and prepare a Case Closing Form. Store all case related records for a minimum of 7 years.
- Electronically maintain timely and thorough documents/records of each case and volunteer. Maintain and report case and volunteer data into Optima.
- Review and distribute reports to the Executive Director prior to submitting to the Court.
- Distribute court reports to the Court and all parties involved at least three days prior to the court date.
Volunteer Supervision:
- Provide support to volunteers regarding their case including problem solving, resource information and guidance related to the child welfare system. Contact between CASA Advocate and Advocate Supervisor should be at least once a month and be documented.
- Supervising and assisting volunteers with court reports and recommendations/edits as needed.
- Reinforcement of confidentiality policy with every volunteer.
- Assist with recruitment of new volunteers.
- Participate in evaluation of volunteer performance and periodic documentation checks.
- Consult with appropriate service providers.
- Assist in preparing volunteers for court testimony if necessary.
- Ability to communicate with, supervise and empower volunteers to be effective in their roles.
- Introduce/monitor all Optima useage and approve contact logs as needed.
Program Development:
- Attend available conferences and workshops for the development of programs for volunteers.
- Complete required data entry into Optima.
- Compiling statistics on all active cases, including outcome measurement, demographics and placements.
- Participate in staff and board meetings.
- Attend and assist with volunteer appreciation events, in-service trainings, and other functions coordinated by CASA by the Lakes.
- Assist in public speaking, community outreach, and community committees as needed.
- Collect case success stories and challenges to be shared in recruiting material and in staff or board meetings.
Professional Development:
- Adhere to the program policies on dress, professional conduct and demeanor.
- Model the mission as the public face of CASA by the Lakes.
- Always maintain confidentiality with staff, volunteers and court appointed professionals.
- Create and develop a yearly self-development plan with the Executive Director.
- Actively participate in annual performance review by sharing milestones and achievements with the Executive Director.
Qualifications:
- Bachelor’s degree required. Degree in social services related field or three years’ experience in child welfare system or volunteer coordination/supervision preferred.
- Ability to build community awareness and network with other community agencies.
- Ability to speak publicly.
- Knowledge of understanding of issues and dynamics with families in crisis relating to child dependency, abuse and neglect.
- Skills to advocate strongly and professionally on behalf of clients in conflictual situations and to work resourcefully and independently to identify and seek out information and resolutions.
- Ability to utilize a variety of computer software packages such as Word, Excel and other databases, including Google platforms.
- Must maintain a valid driver's license during employment.
- Must complete a state criminal records check, a national criminal records check, Social Security number verification, the Kentucky Child Abuse and Neglect registry check, the Kentucky Adult Caregiver Misconduct registry check, the Kentucky Public Sex Offender registry and the Dru Sjodin National Sex Offender registry check.
Physical Requirements:
- Ability to turn, lift, and move objects up to and including 15 pounds
- Ability to perform repetitive work in an office and use manual dexterity sufficient to operate office equipment.
- Requires occasional sitting, walking, kneeling, stooping/bending, lifting, squatting, reaching overhead, reaching away from body and repetitive motion.
