Job Overview
We are a compassionate and client-centered therapy practice seeking a highly organized and personable Administrative Assistant to join our team. Duties
- Greet clients in person and by phone with warmth and professionalism
- Answer the Casa De Mi Alma phone, check voice mail, and follow up with referrals and other calls, mails, and interoffice communication
- Manage and complete Intakes for Casa De Mi Alma & Open Wings
- Manage referrals, assign patients to clinicians, and manage waitlist
- Maintain accurate client records and documentation in compliance with HIPAA
- Obtain medical records and insurance verification
- Responsible for supplies
- Support Executive Director, Administrative Manger and clinicians with administrative tasks & duties
- Social Media postings
- Keep the office organized, stocked, and running smoothly, prepare the refreshment table, ensure office supplies replenished in bathrooms and clinical offices
Qualifications:
- Previous administrative experience, preferably in a healthcare or mental health setting
- Excellent communication and interpersonal skills
- Strong organizational abilities and attention to detail
- Proficiency in scheduling systems and general office software (e.g., Google Workspace, Microsoft Office, Therapy Notes)
- Familiarity with HIPAA regulations (preferred but not required – training provided)
