What are the responsibilities and job description for the Intake Coordinator position at CASA-Trinity?
The Intake Coordinator is responsible for intake for all elements of care. The intake coordinator reports to the Lead Intake Coordinator and works collaboratively with the Program Directors. All client interactions must be conducted in accordance with regulations as required by the NYS Office of Alcohol and Substance Abuse Services (OASAS).
This position is Monday through Friday hours 8:30am to 4:30pm.
Essential Job Functions
· Process referrals and conduct phone screens.
· Manage waiting list and maintain the referral list as a permanent record.
· Responsible for reporting daily bed availability to OASAS.
· Schedule intakes with first come first serve priority when possible and communicates to designated program and staff.
· Follow admission criteria and priorities that establishes the order by which individuals who are waiting admission must be admitted in accordance to OASAS.
· Use LOCDTR 3.0 to establish level of care determination, sign and print the determination for the case record.
· Prepare admission determination and assessment and place in the case record.
· Consistently and accurately informs staff with weekend and intake responsibilities of beds being held for admissions.
· Responsible for reports related to admission to discharge and submission of reports to MCO’s.
· Responsible for obtaining authorizations and conducting insurance as reviews as needed.
· Accurately document reasons individuals found not to be in need of services were found ineligible 820.7(a)(4)(iv.) and provide document to OASAS or stakeholder as requested.
Completes required medical record documentation in a timely and comprehensive manner and in compliance with NYS OASAS regulations. Effectively utilizes Agency’s medical software program(s)
Participates as a contributing member of an interdisciplinary team in coordination and delivery of patient care
Participates in professional supervision and education that supports continuous improvement of client care including weekly case management staff meetings
Perform other related duties as assigned
Knowledge, Skills and Abilities
· Advanced knowledge of substance use disorders and their effects on the individual and family members including human behavior, attitudes, and motivations and their applicability in the treatment/rehabilitation of the substance use disorder clients.
· Familiar with the resources available to individuals with substance use disorder.
· Ability to recognize symptoms of substance use disorder and elicit information concerning underlying reasons for addiction.
· Ability to accurately prepare and maintain documentation of services, treatment records, and reports utilizing computer databases and software programs including proficiency with spreadsheets.
· Excellent communication skills both written and verbal.
· Ability to establish and maintain effective working relationships with staff, volunteers, and the general public.

The Intake Coordinator must be able to prioritize situations and manage time and may find that they are needed at irregular hours causing fatigue and stress. The Intake Coordinator may experience stress and stress related symptoms due to interacting with clients in crisis. S/he may be exposed to illness and unsanitary conditions so must take care to protect their own health. They may also have to manage physically threatening clients and be prepared to be responsible for their own safety, and the safety of others.
Work Environment
The employee is expected to adhere to strict policies/regulations relative to being in a tobacco and alcohol-free workplace. Work is performed in a residential inpatient environment.
Qualifications
Minimum of an associate’s degree with a major in chemical dependency, psychology, social work, counseling, nursing (with a clinical specialty in the human services) or other related field and/or 1-2 years of experience in a health or human service agency, preferably in a drug and alcohol setting.
Must successfully complete additional training requirements based on NYS OASAS standards, which include:
- Medications for Addiction Treatment (MAT) – 3 hours
- Introductory training to addiction
n CASAC Canon of Ethics – 6 hours
n Confidentiality related to 42CFR – 3 hours
- Introductory training to addiction
n CASAC Canon of Ethics – 6 hours
n Confidentiality related to 42CFR – 3 hours
QGP eligible; CASAC-T, MSW, LMH licensure or certification is highly desirable. Must possess a valid driver’s license. This position is subject to a criminal background clearance.

Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
