Key Responsibilities:
· Excellent customer service & verbal communication skills
· Pass on information from upper management to employees and vice versa.
· Assist with managing complaints and resolving problems.
· Monitor employee/patient interactions for acceptable customer service relations
· Counsel employees as needed
· Provide administrative and clinical support
· Maintains operations by following policies and procedures, reporting needed changes.
· Processes insurance verification and payment collection.
· Assist with front desk duties, phones, checking in/outpatients, charts, answer phones, reconcile monies collected.
· Maintain accountability for provider/ aesthetician schedules.
· Answer phones and voicemails promptly
· Assist in inventory of all front office supplies, retail and backbar supplies
· Organize and maintain a clean work environment.
· Availability to work evenings and some weekends on occasion.
· Must come to work looking professional and presentable.
· Up-selling additional treatment areas and/or skin care products
· Participate in inventory control and monthly orders.
· Promote Cascade specials, loyalty programs and services.
· Assist with make-up applications, skin care recommendations and product demonstrations with patients.
· Maintain positive relationships with the vendors through participation in required training and the execution of events and promotions.
· Ensure that all merchandise, testers, and demonstration stations are maintained and set to company standard.
Administration Responsibilities
· Assist with troubleshooting, IT, laser issues and maintenance
· Manage employee timecards by due date.
· Review employee timecards for accuracy and completion
· Assist in managing purchase orders for administration
· Assist with yearly performance reviews for all employees with supervisor/manager
Key Skills/Qualifications:
· Prior Dermatology, Cosmetic or Plastic Surgery experience preferred; MUST have prior customer service experience in a medical setting.
· Must be familiar with MS Office, including Excel Ability to write routine reports and correspondence.
· Ability to add, subtract, multiply and divide.
· Ability to solve problems.
· Ability to work in fast paced environment.
· Experience with EMR systems a PLUS
· Infection control knowledge
· Ability to create a safe and effective work and patient treatment environment
· Organization
· Professionalism
· Complete understanding of patient and employee confidentiality
