Now accepting applications for a Community Events Coordinator to work closely with the Member Services and Dining departments to ensure excellent customer service to our members and the outside Community. This position provides outstanding customer service and must have attention to detail, understand priorities and meet deadlines. Must be willing to work evenings, weekends, and holidays as needed.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
- Represents the campus in a positive manner to the public while creating an environment that fosters respect and courtesy for residents and employees alike. Works within the campus programs to encourage and promote safety and the well-being of all residents and employees.
- Upholds the campus’s Mission Statement.
- Maintains HIPAA standards and regards all medical or healthcare information pertaining to residents and employees as confidential.
- Arrange and book event space, arrange food and beverage, table set ups, order supplies and audiovisual equipment, order event signs, and ensure appropriate décor (florals, linens, color schemes, etc.) to meet the quality expectations of the internal and external customers.
- Aggressively gather information on each project to achieve quality event productions.
- Propose new ideas to improve the event planning and implementation process.
- Manage on-site production and clean up for events as necessary.
- Create and carry out room layouts for each event.
- Close out events as required.
- Serve as a liaison with vendors and performers for event-related matters.
- Coordinate appointments and visits to see our space, and scheduling of events on the calendar.
- Ability to manage multiple projects and work assignments from a variety of staff and customers.
- Actively Market the Cascades as an Event Venue of choice in the outside community.
- Manage all aspects of Member’s private events including the coordination, set-up, planning, and scheduling.
- Supervise Independent Living Life Enrichment Leader positions
- Manage and develop the Independent Living Activities Calendar
- Assist with Healthcare’s large Events
- Actively communicate all information accurately and timely to appropriate internal and external customers.
- Occasionally, you will be required to operate a vehicle of either your own or company-owned for designated company purposes or facilitate resident/member needs and/or requests.
OTHER DUTIES AND RESPONSIBILITIES:
- Travels occasionally for training sessions, continuing education opportunities, emergency situations, and other company functions.
- Responsible for knowledge of fire and safety procedures including those involving blood-borne pathogens.
- Remains in proper uniform at all times and maintains a high standard of appearance.
- Completes all work in a timely manner.
- Comprehends budget and exercises cost control.
- Interacts well with marketing tours and prospective residents.
- Maintains excellent resident and employee relations. Handles complaints and recommendations constructively.
- Attends employee in-services as required.
- Accepts other duties as required by the Director of Member Services.
PREREQUISITES:
- College degree preferred; significant work experience can substitute for degree.
- At least 1 year experience coordinating special events.
- Ability to work with minimal supervision.
- Excellent interpersonal skills both in person and by phone, with high professionalism.
- Excellent communication skills, including writing, proof reading skills, and speaking.
- Must conduct all business with a professional manner and with a high level of confidentiality.
- Proficient using the latest versions of Microsoft Word, Excel, PowerPoint, Access and mail merges; email and web searches.
- Work outdoors and indoors during the work day.
- Able to climb two flights of stairs.
- Lift objects of 25 pounds or less over the head.
- Move objects of 40 pounds or more.
- Ability to work under time-sensitive or stressful situations.
- Respond to medical emergencies on a rare occasion.
- Assist with resident evacuations, if ever required.
- Must have a valid driver’s license and satisfactory driving record as specified by the Company and by the Company’s automobile insurance carrier.
