Resume Position Overview Under the general direction of the Director of Facilities and Capital Projects, the Program Coordinator - Facilities coordinates the execution and documentation of Minor Improvements, Space Planning, Facility Operations, Mail Services, and Emergency Preparedness coordination/training using specific knowledge and experience. The position also manages and facilitates employee access, facility work orders, departmental purchasing, inventory management, surplus, motor pool, departmental alerts and coordination of updates on departmental website. The position exercises independent judgment in interpreting and applying rules and regulations to the above and independently advises students, staff, program participants and/or the public regarding program content, policies, procedures and activities. As the Program Coordinator - Facilities, it is expected that the following qualities will be demonstrated daily: a high degree of understanding and empathy for all students, faculty, staff, and visitors, as well as the ability to encourage the inclusion of all voices in decision-making, promoting equity in all areas, and actively working against institutionalized norms of oppression against historically marginalized people. Employee Type: Classified, Permanent Initial Salary: Range 40: $3,477.00 - $3,910.00 Monthly DOE, + KCPP (King County Premium Pay) Supervising Position: Assistant Director of Facilities Essential Duties Minor Improvements Collaborate and coordinate with departments on all minor improvement requests. Develop project schedule, CAD file drawings, and obtain project approval. Procure furniture for minor improvements and office moves. Oversee delivery of furniture and coordinate installation. Enter in project work orders and track work orders through completion. Assign and deliver keys, update signage for doors and blade signs. Coordinate with IS department on all phone and computer related needs for the project. Manage projects from start to completion to ensure project is completed successfully. Mail Services Manage mail services department and supervise part-time staff. Pick up, sort, and deliver mail on a daily basis. Log and distribute packages on a daily basis. Maintain mail services labels and binders. Distribute banker boxes as needed. Pickup and recycle toner cartridges using designated boxes. Deliver and maintain copy paper in designated areas on a weekly basis per schedule. Make sure receiving is clean and organized. Answer employee questions about mail services and address their needs in a timely manner. Facility Services Motor Pool Services: keep track of maintenance and service of all campus fleet vehicles, manage coordination of vehicle requests and key pick up, maintain motor pool spreadsheet and motor reservation calendar, and ensure vehicle is clean and operational. Building Cleaning/Repairs: Attend to facility issues by conducting monthly walk-throughs of buildings to assess cleanliness, repairs, or replacements. Enter in work orders for cleaning/repairs and monitor work from start to completion. Monitor and manage MSA contract with UWB ensure services are completed and deficiencies are reported. Surplus/Inventory: Assign and track existing furniture and new furniture with ownership tags, maintain and update ownership tag log, coordinate pick up and disposal of broken surplus or unused furniture in storage annually. Coordinate with other departments on their disposal/surplus needs. Signage: Create door signs and install as requested, notify Supervisor of signs that need to be replaced due to changes or damage, coordinate installation of new signs, create and distribute to Campus Security new building hour door signs each quarter. Key Inventory: Coordinate distribution of new keys with Supervisors approval, maintain key binder and key spreadsheet, order new keys as needed, maintain key lock box, and assist staff with ordering cabinet keys as needed. Work Orders: Enter in work orders as needed, approve work orders entered by staff, maintain work order spreadsheet, assist staff with questions regarding work orders, track work orders from start to completion. Emergency Preparedness: Serve on evacuation team and EOC. Maintain and distribute all evacuation radios and evacuation bags. Ensure all items are up to date and functioning properly. Sustainability: Keep track of all GHG (Green House Gas) emission information, keep track of any sustainability facility issues, and work with various departments and instructors to coordinate sustainability changes to campus and sustainability related projects. Event Services: Act as backup for event staff, show potential clients event spaces, help coordinate event if needed, aid with creation of new forms and other duties if necessary Finance: Manage department budgets for both local and capital funds, assign budget codes to incoming purchase orders and invoices, reconcile credit cards monthly, track invoices through ctclink, communicate with Finance about invoice status, monitor encumbrance budgets, make sure correct budget is on invoices, monitor all UWB invoices, keep department spreadsheet updated with all invoices, run reports from ctclink to track and reconcile payments. General Office Duties Maintain warranty binders and research information as needed. Maintain department supplies and order as needed. Maintain file cabinets, create new files, and file all department documents. Update spreadsheets as needed and maintain facility binders. Update policies and procedures, as needed. Maintain Facilities webpage, send out facility alerts for all maintenance repairs and projects. Serve as the point of contact for all facility vendors, collaborate with vendors regarding replenishing first aid supplies, shredding documents, surplusing furniture/equipment, and various other needs based on the services the Facility vendors provide. Represent the Facilities Department in various meetings, committees, and serve as back up to Director in certain meetings. Support staff with questions they may have on anything facilities-related. Other related duties as assigned Education and Experience Minimum Qualifications: High School diploma, GED, or equivalent AND 1-2 years of relevant work experience, or equivalent combination of education and experience. Demonstrated strong interpersonal, telephone, email, and other people facing customer service skill and ability. Demonstrated strong organizational skills and ability to handle multiple tasks simultaneously and determine priorities. Demonstrated commitment to and interest in diversity, equity and inclusion and the ability to support a multicultural workplace and educational environment. Preferred Qualifications: Associates degree or higher level of education. Proficiency with Microsoft Office Suite including Outlook, Word, Excel, PowerPoint, or similar productivity software. Experience with WA ctcLink system or purchasing experience. Experience in facility services, project management, or sustainability. Experience working in higher education. Ability to work independently. Ability to successfully communicate (written and orally) in a language in addition to English. Terms of Employment This is a full-time, twelve-month Classified position. This position works 40 hours per week, Monday through Friday; may include occasional evening responsibilities. Initial base salary placement is $3,477.00 - $3,910.00 per month, with yearly step increases to the maximum salary of $4,632.00 (Step M) per month (not including the 5% King County Premium Pay). This is a represented position. Cascadia College employees receive a 5% King County Premium Pay in addition to base salary for the 2024-2025 Fiscal Year. This position has been designated as a bargaining unit position by the Washington Public Employees Association. Following a successful probationary/trial service period, employees attain permanent status. Cascadia College offers a comprehensive benefit package including tuition fee waiver. Physical Work Environment Semi-Sedentary Work: Involves staying in a stationary position to a significant degree. Jobs are sedentary if moving is required only occasionally and all other sedentary criteria are met. The College is currently in hybrid operations, with many assignments completed in an online environment during this time. Full-time employees are expected to be on-campus at least three (3) days per week with the option to work remotely for the remainder of their working days. This position is intended to be on-campus/in-person 5 days a week. Employees will need to provide their own remote workspace and internet access, noting the College will provide technical equipment and support for online work needs. During on-campus operations, this position will perform work in a standard office setting, use standard office equipment and physically attend meetings both on and off campus and requires the ability to communicate in person or through appropriate means. Positions in this class typically require operating a computer, communicating, observing, and repetitive motions.
