Location/Schedule: This position is located at Andrea Place, a residential treatment facility located in N Portland, OR. The schedule for this position is Monday through Friday, 8:00 a.m. to 4:30 p.m.

Position Description: The Medication Services Coordinator oversees the administration, documentation, and compliance of the medication management program within a residential setting. This role involves training and supporting staff in safe medication practices, coordinating with medical professionals, and ensuring adherence to all regulatory requirements. The coordinator also plays a key role in maintaining the medication room, managing inventory, and ensuring accurate documentation in the agency's EMR system. Additionally, the position requires leadership in program development, collaboration with clinical teams, and providing support during crisis situations to maintain a trauma-informed environment.

Responsibilities

  • Manage the administration, documentation, and evaluation of the medication management program. Train, coach, and consult with Residential Counselors responsible for dispensing medication.
  • Oversee the medication administration room, including inventory, supply orders, tools, and materials. Conduct periodic audits to ensure quality service and compliance with all applicable regulations. Recommend and implement program improvements.
  • Maintain effective coordination and communication with medical staff (LMP, nurse), site teams, and community partners. Schedule resident appointments, manage medication orders, and disseminate key treatment information.
  • Provide leadership and oversight for MAR completion, ‘Cycle Fill’ documentation/ordering, pharmacy coordination, narcotic medication handling, and self-administered medication education for residents.
  • Facilitate program goals and development, ensuring productivity, budget adherence, and compliance with federal, state, county, and city regulations.
  • Document all services professionally using the agency EMR system.
  • Provide positive role modeling and mentoring to peers, advancing the consistent use of clinical best practices.
  • Participate in program development and training. Provide input on programmatic documentation and procedural requirements.
  • Ensure continuity of care during staff meetings, shift changes, and related procedures. Coordinate with oncoming shifts regarding resident concerns and program needs.
  • Provide input on therapeutic treatment plans in collaboration with case managers.
  • Assist in crisis situations, following emergency protocols and supporting a trauma-informed environment.
  • Maintain current CPR/First Aid certifications and demonstrate responsibility for the safety of residents, staff, and property.
  • Adhere to mandatory abuse reporting laws and HIPAA requirements. Remain awake and alert on all shifts.
  • Perform other duties as assigned.

Qualifications: 

  • Bachelor’s degree in a behavioral science field from an accredited college or university or three years of full-time professional experience providing direct service to individuals in a social service setting. Demonstrate the competencies to become credentialed as a Qualified Mental Health Associate (QMHA), as outlined in the Oregon Administrative Rulings (OARs). Certification must be kept current and in compliance with OARs through MHACBO.
  • Experience in a residential mental health setting and providing skills training services is preferred but not required.
  • Proficient verbal and written communication skills.
  • Basic knowledge of Trauma Informed Care (TIC), Motivational Interviewing, and Evidence-Based Practices.
  • Basic understanding of recovery models, illness management, and strength-based philosophies.
  • Knowledge of Microsoft Office Suite (e.g., Word & Excel).
  • CPR Certification (training provided post-hire).
  • Possess a valid driver’s license, minimum of one year driving history, ability to pass Driver Motor Vehicle (DMV) check and complete the Cascadia online Defensive Driving course (some programs).

Working Conditions

  • Environmental: Work is performed in a residential setting. Daily routines can be hectic and will likely require the Medication Services Coordinator to perform various functions of the site and, on occasion, perform the tasks of other employees as needed.
  • Operating Hours: Medication Services Coordinators generally work business hours; however, schedules may vary depending on the program.
  • Mental: Meal periods and breaks may be interrupted. Constant awareness and alertness are critical to detect, and address escalated, potentially volatile situations.
  • Physical Demands: Activities and structure support community integration assist program residents in learning socially acceptable behaviors. Employees must be approved to provide transportation utilizing agency vehicles so that residents may access the community. The Medication Services Coordinator must also assist residents in participating in a variety of active leisure and recreational events, as well as skill building outings and accessing community resources. The Medication Services Coordinator must have the ability to assist the team in providing safety to all residents and staff in potentially volatile situations.
