Key Responsibilities:

  • Extend a warm welcome to clients and provide exceptional hospitality during in-person meetings
  • Coordinate, schedule, confirm and organize client meetings, facilitating both in-person and online appointments, and assisting with note taking as necessary
  • Manage phone calls, scan and route incoming mail, transition hard copy files to digital formats, prepare bulk mailings, and oversee incoming and outgoing correspondence for financial service reviews
  • Execute administrative and support functions, complete, process, and monitor new account and insurance paperwork, signature collection, data entry into processing systems, digital file maintenance, report generation, and document uploading
  • Handle routine client account maintenance items, such as processing name and address changes, bank authorizations, and responding to client queries
  • Prepare checks, order office supplies, and run office errands when required
  • Coordinate vendors and technical support, ensuring the smooth operation of office equipment
  • Arrange travel and accommodations for 2-3 employees, encompassing transportation scheduling, hotel reservations, meal bookings, and travel expense reimbursements
  • Occasionally participate in team meetings and monitor the progress of ongoing tasks, projects
  • Coordinate the procurement of client gifts, cards, and flowers to acknowledge milestones and life events
  • Plan and organize occasional client and company events, including venue bookings, catering arrangements, and guest list.  Maintain a clean, organized, and comfortable office environment
  • Other duties as assigned

Qualifications:

  • Minimum of 3 years of administrative support experience
  • Preferred experience in the financial services industry
  • Ability to work independently with a high degree of self-direction and adaptability, proactively managing multiple tasks and promptly addressing client needs
  • Excellent organizational and problem-solving skills, with exceptional attention to detail and follow-through
  • Strong work ethic, punctuality, dependability, professionalism, and poise in conduct and attire
  • Collaboration skills and the ability to thrive in a team-oriented culture
  • Maintains high ethical standards and confidentiality, exercising discretion when handling sensitive information
  • Outstanding interpersonal, written, phone, and email communication skills
  • Proficiency in computer applications such as Adobe Acrobat Pro, CRM systems, and Microsoft Office Suite (Windows, Word, Excel, PowerPoint)
  • Familiarity with RedTail and Right Capital is a plus

Position Details:

  • Full-time, Hourly position in an onsite role at our Portland office at 1805 NW Glisan Street
