Job Description
POSITION OBJECTIVE
The leadership engagement coordinator plays a significant role in supporting fundraising efforts of the President, senior vice president of university relations and development, board of trustee members, and other university and volunteer leaders. The coordinator provides support for the senior director of leadership engagement and the Presidential development travel program through assisting and coordinating visits and solicitations for senior leadership in conjunction with the senior director of leadership engagement. This position involves regular and extensive interaction with senior university leadership, donors and prospects, community leaders, high level volunteers, and alumni. Functioning as part of a university development team, the incumbent will be expected to work collegially, and in partnership, with central and other school-based colleagues.
ESSENTIAL FUNCTIONS
- Provide administrative support to the senior director of leadership engagement in executing fundraising efforts of the President, senior vice president of university relations and development, board of trustee members, and other university and volunteer leaders. Assist with managing leadership engagement development travel program visits and logistics. Work with the senior director to manage and drive the briefing process for all donor visits and events organized by the leadership engagement office. Facilitate internal communication and manage meeting preparations and post-meeting follow ups. Assist with the development and planning for the President and senior vice president¿s development travel priorities and schedule. (40%)
- Plan, create, and manage the preparation and distribution of case statements, donor proposals, development and VIP travel itineraries/ briefs and program materials for use in high-level donor solicitations on and off campus. Manage execution of thank you letters and other high-level correspondence from senior leadership. (40%)
- Strengthen and reinforce the goals of the Office of Leadership Engagement through participation in staff meetings, involvement on committees and action teams, and fostering partnership between leadership engagement and other university departments. Assist the senior director with and provide oversight and on-site management to other university programs, meetings and events as required. (10%)
NONESSENTIAL FUNCITONS
- Access highly confidential records of donors, alumni, and friends of the university. Prepare, review, and analyze essential information to ascertain giving history, family, and other relationships with the university to provide essential background data for the senior director of leadership engagement. Collaborate with Advancement Services on strategies for pulling donor giving data for solicitation and recognition purposes. (5%)
- Serve as the point of contact for colleagues in the Offices of the President, senior vice president, schools, college, and other departments to answer questions related to leadership fundraising efforts and development meetings and travel. (5%)
- Perform other duties as assigned. (<1%)
CONTACTS
Department: Frequent contact with the president's support staff, senior vice president, vice presidents, associate vice presidents, executive directors, senior directors, and directors of departments. Contact with staff as required to perform essential functions.
University: Contact with the president's office, university-wide dean's offices, vice presidents, trustees, alumni, directors of administrative departments, faculty and staff as required to perform essential functions.
External: Contact with friends of the university, corporate, foundation and community leaders, donors, alumni, and outside vendors and consultants.
Students: Contact with students and student volunteers.
SUPERVISORY RESPONSIBILITIES
No direct supervisory responsibility.
QUALIFICAITONS
Experience: 1 to 3 or more years of professional experience required, preferably in higher education, non-profit and/or fundraising. Administrative/executive secretarial experience supporting a high-level officer in an executive office environment or university setting is preferred.
Education: Bachelor's degree required.

WORKING CONDITIONS
General office environment. Occasional night and weekend hours.
Hybrid Eligibility
This position is eligible for hybrid work arrangement up to two remote days per week at the discretion of the department. New employees may begin a hybrid schedule upon approval from the supervisor, successful completion of an orientation period and signing the remote work checklist certification form.
