Position Summary
The medical records specialist ensures that patients' medical records are entered into the EMR proficiently and accurately. This position is responsible for the release of health information and general duties associated with Medical Records including responding to the release of information requests, additional documentation requests, and prepayment and post-payment audits.
Education and Experience Requirements
High School Diploma or GED required. Formal education in health information, medical terminology, or healthcare is preferred. Must have strong computer skills. Knowledge of medical terminology. Proficient communication and interpersonal skills are necessary to communicate with patients, coworkers, physicians, and families. Knowledge of the electronic medical record. Ability to understand and apply relevant legal concepts (e.g., confidentiality, release of information).
Essential Job Functions
- Work within a team to ensure that patient information and clinical documentation is processed, stored, and routed appropriately and compliantly per Cass Health policies and procedures.
- Assist providers, clinical staff, and other departments with releasing records for referrals, care coordination, and continued patient care.
- Assist patients with the release of information forms for protected health information (PHI) and accurately release information per request.
- Accurately prepare and release records for work comp, subpoenas, provider practices, billing, quality audits, etc.
- Facilitate and respond to phone calls, assisting patients, providers, nurses, and employees promptly and professionally.
- Electronically file and route incoming faces into the correct patient charts and categories within the Electronic Health Record (EHR).
- Champion and assist patients with the use of MyChart, including signing up, getting access to, and navigating the platform.
- Demonstrate a thorough knowledge of the HIPAA regulations that apply to Cass Health, protecting the security of the medical record to ensure confidentiality.
- Attends meetings related to Medical Records processes and process changes.
- Actively assists in developing training guidelines for medical records and the Electronic Health Record. Provide information and training to providers, staff, and departments on medical records topics.
- May prepare medical records for prepayment and claim audits and other medical records and claim audits, ensuring accuracy, compliance, and accurate records of the audit process.
- May assist in writing letters of reconsideration and appeal for denials of claims.
- Assumes duties and responsibilities delegated from the Medical Records Director that help ensure department continuity of operations.
