Qualifications:
- High School Diploma (Business/Accounting degree or certification preferred)
- Experience working in a professional office setting
- Experience and training in bookkeeping
- Good communication skills
- Self-starter and able to work independently
Reports To: Superintendent
Job Goal:
To support the financial integrity and administrative operations of the Cassville School District by accurately managing financial records and board documentation. This position upholds strong bookkeeping standards, assists with budget development, and acts as a trustworthy, confidential liaison to the Board of Education—fostering transparency, fiscal accountability, and efficient administration in alignment with the district's mission and goals.
Board Secretary Responsibilities
- Prepare Financial Reports for Board Meetings
- Attend Board Meetings
- Prepare Agendas and Minutes for each Board Meeting
- Prepare and Assist in the preparation of all Board Meetings
- Contact and organize all Board Meeting Functions
Bookkeeper Responsibilities
Monthly
- Prepare and record journal entries in accounting system
- Reconcile bank statements and all Asset Accounts
- Prepare bank transfers between funds and accounts
- Analyze and maintain all Budget Accounts
- Manage ePegs and all Federal Grants for Final Audit
- Reconcile and Process all Final Expenditure Reports
- Assist Auditors during Annual Audit
- Analyze Budget Figures and Create Budget for new Year
- Update Long Term projects worksheet
- Run monthly reports (journals, operating statement, general ledger)
- Complete Budget Revisions as needed in accounting system
- Prepare Payment Requests from DESE or other agencies
- Review transactions for cash receipts, revenue receipts, rebates/refunds, bank fees and bank transfers prior to posting to general ledger
Quarterly and/or Semi-Annual
- SDAC Cost Data/PPR Reports
Yearly
- Prepare the Secretary of the Board Report
- Assist faculty with grant reporting
- Maintain record keeping for scholarship funds
- Check year-end totals for payroll, including W-2’s
- Assist Superintendent and Assistant Superintendent with budget and budget revisions
- Complete audit confirmation letters for auditor
- Assist the auditor during the annual audit
- Review transactions marked to receive a Form 1099
- Maintain records on school district’s investments
- File securities held by banking institutions
- Reconcile all final expenditure reports through ePeGS and/or other systems
- Complete Tax Rate Calculation
- Complete District Tuition Calculation
- Annual Report for Revenues and Expenditures for Food Service
- Maintenance of Fiscal effort Report
- Assist the Superintendent with the SB287 Calculation Worksheet
- Destroy files from previous years that have become eligible for destruction according to the retention schedule
- Perform other duties as assigned by the Superintendent or the Assistant Superintendent
Terms of Employment:
Employment is on an annual basis. This is an at-will position. The superintendent makes employment recommendations in April of each year for the next fiscal year. The final decision is made by the Board of Education.
Evaluation:
Performance of this position will be evaluated annually in accordance with provisions of MSBA Board of Education Policy on Evaluation of Support Staff (GDN).

Pay: From $22.50 per hour
Expected hours: No more than 40 per week
