About the Role
The Accounts Receivable Specialist will be responsible for ensuring accurate and timely billing, monitoring receivables, and managing collection efforts. This role requires strong communication skills, exceptional attention to detail, and dedication to providing outstanding customer experiences while optimizing cash flow and minimizing risk.
Position Location: This is an on-site position in our Columbus, Ohio headquarters
Shift: Monday – Friday, 8:00 am – 5:00 pm
Key Responsibilities
- Prepare and issue invoices accurately and on time, ensuring they reflect contract terms and customer agreements.
- Create customer accounts and establish payment terms.
- Monitor accounts receivable aging reports and follow up on past-due accounts through calls, emails, and written correspondence.
- Proactively resolve billing discrepancies and customer disputes, partnering with sales, customer service, and operations teams.
- Process customer payments and apply payments to appropriate accounts.
- Maintain detailed records of collection activities and payment arrangements.
- Analyze payment trends and suggest process improvements to reduce DSO (Days Sales Outstanding).
- Apply cash receipts and reconcile customer accounts, ensuring payment accuracy.
- Support month-end and year-end close processes related to A/R.
- Uphold a customer-first mindset, treating every interaction as an opportunity to build trust and loyalty.
- Identify inefficiencies in billing and collection processes and contribute ideas for continuous improvement.
- Ensure all work meets our high standards for accuracy, timeliness, and professionalism, reflecting our commitment to excellence.
- Additional responsibilities as assigned.
Minimum Qualifications
- 3-5 years' of experience in accounts receivable, preferably in a distribution or logistics environment.
- Strong understanding of purchase orders, invoicing, payment application, and collection best practices.
- Proficient in ERP/accounting software (Preferably Microsoft Great Plains)
- Proficient in Microsoft Office applications, particularly Excel.
- Exceptional attention to detail and organizational skills
- Excellent written and verbal communication skills
- Ability to balance firmness with empathy in customer interactions
- Self-motivated and results-oriented, with a drive to continuously learn and grow
- High School Diploma or GED is required
- Associate's or bachelor’s degree in Accounting, Finance, or a related field preferred
