Position Overview:
The Reservations Department is a tight-knit group of goal-oriented and versatile individuals who aim to provide a seamless booking experience for our Members and their guests. By paying close attention to detail and maintaining the highest level of responsiveness, we perform our day-to-day tasks in a fun, yet professional manner. The Reservations Associate is responsible for scheduling room reservations and transportation requests, answering the main phone line, and maintaining constant communication between departments. The contribution of the Reservations Associate will be vital to the success of each stay for our Members and their guests. The Reservation Associate position reports to the Reservations Manager.
Position Responsibilities:
- Answer the main phone line and transfer calls to the requested individual or departments and manage the Member and guest arrivals and/or departures throughout the day.
- Correspond with Members and/or their assistants on room reservations, transportation, and Boardroom meetings.
- Input room and transportation requests into the Reservations system.
- Communicate with Members or their assistants to gather guest names, transportation information, accommodation requests, etc.
- Responsible for organizing the key envelopes for arriving Members and ready to be taken out to greet the Members/guests.
- Create and distribute the Daily Report to all departments. Responsible for auditing the Daily Report for accuracy of details, prior to distribution.
- Greet Members and their guests when they arrive in the Valet loop for the beginning of their stay. Direct them to their room assignments and accommodate needs as requested.
- Look ahead for reservations/transportation details that are missing and communicate the missing details to the Reservation Manager.
- Maintain frequent and consistent communication with our Housekeeping and Transportation teams to ensure that our rooms are clean and ready for new arrivals.
- Inform Housekeeping of the rooms that are clear so that they can clean them for incoming guests.
- Schedule and communicate arrival and departure times with the Transportation team based on flight information from the Members and their assistants.
- Perform the Night Audit which includes nightly charging rooms and assessing the accuracy of rates and charges.
- Assist Concierge when necessary.
- Prompt for member special occasions such as birthdays and anniversaries.
- Ensure member preferences are collected, communicated and executed.
- Responsible for Boardroom and Cottage meeting scheduling, setup, and cleanup.
- Other duties deemed necessary by the Department Director, CFO or General Manager.

Requirements
- 1 years of customer service experience, preferably in a hospitality environment or customer-facing role.
- Willingness to learn software systems that manage reservations, booking rooms, transportation, and Club communications.
- Excellent communication skills, both verbal and written.
- We support our Members 7 days a week. This position is seasonal and requires flexibility; including nights, weekends, and holidays.
