Summary

We are seeking a qualified Administrative Assistant to join our team at Castlerock Homes! This role is essential in supporting our Operations and Accounting Departments. The ideal candidate will contribute to our mission of providing outstanding service in the residential home building industry.

We specialize in both custom and spec homes and are looking for someone experienced in supporting two or more departments. The right candidate will be highly organized, a fast learner, and ready to work closely with subcontractors, vendors, customers, and team members to ensure projects are completed efficiently and accurately.

Experience in residential construction is a plus but not required. The ability to assist in various projects across multiple departments is also a plus — and we are happy to train the right candidate. Responsibilities

  • Greet and assist visitors and clients professionally.
  • Manage office communications; including phone systems and email correspondence.
  • Schedule meetings, appointments, and maintain calendars.
  • Organize and maintain physical and digital files and records.
  • Order and manage office supplies and inventory.
  • Support onboarding and internal administrative processes.
  • Coordinate with subcontractors and vendors for smaller projects.
  • Perform data entry and keep electronic filing systems organized and up to date.
  • Update project management software (ConstructionOnline experience is a plus).
  • Provide direct support to the Operations and Accounting teams.
  • Work with Operations Manager to ensure projects are progressing correctly and efficiently.
  • Prepare documents, reports, and presentations as needed.
  • Support field operations by ensuring our handyman during warranty phase.
  • Collaborate with the Operations Manager, Bookkeeper, and Owner on various projects.
  • Oversee marketing, advertising, social media, and website management.
  • Assist with coordinating company events and meetings.

Qualifications

  • Friendly, approachable, and dependable.
  • 2 years of proven experience as an administrative assistant or in a similar role.
  • Excellent verbal and written communication skills.
  • Strong organizational skills with exceptional attention to detail, time-management abilities, and the ability to multitask.
  • Proficient in Microsoft Office Suite (Word, Excel, OneNote) and Google Workspace (Gmail, Sheets, Drive, Calendar).
  • Proficient with office management software and data entry tasks.
  • A fast-paced learner who is comfortable working independently and as part of a team.
  • Can handle high-stress situations.
  • High school diploma or equivalent required (Associate’s or Bachelor’s degree is a plus).
  • Bilingual abilities are a plus but not required.

Pay: $45,000.00 - $60,000.00 per year
