The HVAC Office Service Supervisor at Moore Mechanical is responsible for overseeing the daily operations of the Service Department, ensuring department profitability, efficiency, and sustained growth. This role requires close collaboration with the General Manager, Field Service Supervisors, and Service Technicians to maintain strong communication, streamline workflows, and support the achievement of departmental goals.
The ideal candidate will manage service job bids and budgets, maintain oversight of all active service jobs, and ensure projects are completed on time and within budget. This position plays a critical role in driving customer satisfaction, managing resources, and supporting the company's overall growth strategy.
Key Responsibilities :
- Ensure the profitability of service department operations through effective management practices.
- Develop and maintain project budgets, ensuring job budgets are consistently met.
- Prepare bids and contracts for customer accounts, ensuring accuracy and competitiveness.
- Oversee project timelines, ensuring projects are completed efficiently and on schedule.
- Maintain proactive communication with customers, addressing inquiries, schedule changes, change orders, and field directives promptly.
- Provide field supervisors with all necessary information to ensure successful job completion.
- Communicate schedule backlogs and project updates regularly to the General Manager.
- Review new jobs thoroughly, addressing any punch list items or incomplete tasks promptly.
- Collaborate with the Accounting Department to manage overdue accounts receivable.
- Coordinate the procurement of special orders, materials, and supplies as needed.
- Manage the on-call schedule, ensuring proper coverage and support for after-hours service.
- Serve as a resource for service technicians, assisting with job-related questions and tracking job progress.
- Process all invoices upon job completion and prepare estimates as needed.
- Prepare detailed inspection reports and job documentation where required.
- Address and resolve customer complaints related to the service department, ensuring customer satisfaction.
- Schedule preventative maintenance services for membership customers and maintain accurate service records.
- Draft and manage commercial maintenance contracts to support business growth.
- Utilize required software systems for account management and ensure accurate, timely submission of all necessary paperwork for billing.
- Provide cross-departmental support as needed to ensure company-wide operational efficiency.
- Communicate effectively with customers regarding estimates, project details, and inquiries to facilitate job approvals.
