Parts Counter Specialist

Department: Service

Reports To: Fixed Operations Specialist

SUMMARY:

The automotive dealership Parts Counter Specialist oversees the Parts Department, sells parts to all customers, over the counter, through the shop or on the phone. Parts Specialists are responsible for the reputation, efficiency and profitability of the Parts Department.

As with all positions within dealerships, Parts Specialists are expected to uphold the highest ethical standards.

ESSENTIAL DUTIES include the following. Other duties may be assigned.

  • Forecast goals and objectives for the parts department
  • Maintain inventory consistent with the requirements of the various departments
  • Create pricing guidelines for customer categories Monitor and adjusts inventory
  • Guarantee all parts are properly tagged
  • Supervise stock order procedures
  • Work closely with service specialist to ensure timely turnaround of parts needed
  • Provides technical assistance when necessary
  • Develop and enforce guidelines for working with customers to ensure maximum customer satisfaction Enforce safety requirements
  • Assists all customers (retail and shop) in selecting required parts in a friendly, professional and efficient manner.
  • Informs customers of companion part requirements and specials and ensures that the customer is exposed to the full product line.
  • Answers phone calls, providing price quotes and other information.
  • Provides high level of service to internal and external customers.
  • Pulls and fills orders from stock.
  • Replenishes out-of-stock parts or shop materials that need immediate attention.
  • Locates out-of-stock parts from outside source and submits an emergency order, if necessary.
  • Notifies the service advisor and the customer when special ordered parts have been received.
  • Follows up on back-ordered parts.
  • Verifies will-call and back-order files weekly and returns to vendors, or stocks those items not picked up or required.
  • Replenishes assigned inventory daily.
  • Assists outside sales representatives with their orders.
  • Makes sure all internal requests for parts are billed on service repair order.
  • Receives payment from retail customers or obtains credit authorization.
  • Ensures that all charge sales are signed by the customer.
  • Ensures that all customers receive their copy of the invoice.
  • Issues credit for parts returned, ensuring that the original invoice, or its number, is available so that purchase and pricing can be verified.
  • Issues and tracks requested shop tools to technicians.
  • Keeps orderly records of all repair orders, invoices, insurance estimates and special-order parts.
  • Sets up orders for daily shipment, delivery or pick-up.

QUALIFICATIONS

  • At least 2 years experience in parts administration
  • Technical automotive knowledge
  • Management experience and skills
  • Strong communication skills are required to work with customers, employees and vendors.
  • Specialists are also required to maintain the profitability of their department while controlling expenses and maintaining customer satisfaction.
  • Specialists are required to not only understand and keep abreast of the federal, state, and local regulations that affect their operations, but also to comply with these regulations as well as hazardous waste disposal and OSHA Right-to-Know regulations. Specialists provide necessary training on these regulations and ethical practices.
  • Work extended hours, evenings and weekends to achieve their goals.

Education and Experience

  • Focusing on the following coursework is useful: mathematics, computers/electronics, automotive service and technology, business and courses that teach analytical skills.
  • computer skills and knowledge of relevant software
  • knowledge of operation of standard office equipment.
  • knowledge of clerical and administrative procedures and systems such as filing and record keeping
  • knowledge of principles and practices of basic office management

LANGUAGE SKILLS

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of specialists, clients, customers, and the general public.

MATHEMATICAL SKILLS

Basic mathematical skills

REASONING ABILITY

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

Valid Driver's License

While performing the duties of this job, the employee is occasionally exposed to moving mechanical parts and fumes or airborne particles. The noise level in the work environment is usually moderate. Move throughout the company facility for most of the shift. Spend time outdoors in the weather and elements.
