What are the responsibilities and job description for the Veterinary Receptionist position at Cat Clinic of Asheville?
Position Overview: The Receptionist’s main responsibility is to be the first point of contact for our clients. Key responsibilities include greeting clients in our lobby and answering phone, email, and text inquiries.
- Is responsible for answering phones, email, and text communications from clients and other veterinary clinics
- Is responsible for scheduling appointments for medical care, grooming, and boarding
- Is responsible for initial review of medical records for completeness
- Is responsible for maintaining accurate and complete patient medical records
- Is responsible for communicating with clinic staff and managing the flow of clients and appointments through the day
- Is responsible for accepting payments, both cash and credit, in person and remote
- Is responsible for end of day reporting including reconciling cash receipts and credit card transactions
- Is responsible for maintaining the appearance of the front desk and lobby of the clinic including cleaning duties. Cleaning duties are required daily and include but are not limited to: sweeping, mopping, cleaning the restroom, et cetera.
- Other responsibilities may be required as determined by management.
Position Requirements:
- High school diploma or GED equivalent required
- Employee must be able to lift up to 25lbs regularly, bend over and reach above their head repeatedly, and navigate up and down stairs
- Computer skills required: ability to learn and effectively use the practice software “Neo” as well as time management/HR software “Gusto” and client communication software “Weave”; ability to save and attach medical records to practice software
- Must be able to perform multiple tasks simultaneously (multitask)
- Must be able to interact professionally, pleasantly and efficiently with clients on the telephone and in person
- Work effectively and efficiently in the presence of other staff members and clients
- Work independently to complete daily tasks as assigned without direct supervision
- Strong communication skills, both verbal and written
- Attention to detail and ability to follow instructions accurately
Experience Required:
- Experience in the veterinary or a medical field is preferred but not required
- Some knowledge of veterinary medicine is preferred but not required
- Previous experience in customer service or a related field is preferred
- Preference will be given to candidates willing to cross-train in caring for our boarding cat guests
