Position Title: Admissions Coordinator
Job Overview:
The Admissions Coordinator plays a vital role in facilitating the intake process for individuals seeking treatment at Catalina Behavioral Health. This position involves answering inbound and making outbound calls to individuals affected by addiction or mental health issues, their families, or referral partners. The Admissions Coordinator evaluates the client’s needs, assists with insurance verification, and helps facilitate their entry into the appropriate treatment program, coordinating with the admissions team and facility managers for seamless transitions.
Key Responsibilities:
- Respond promptly and compassionately to inbound calls, assessing callers’ needs for treatment.
- Assist prospective clients and their families by verifying insurance benefits and explaining treatment options.
- Use independent judgment to assess callers' readiness and ability to attend treatment.
- Log detailed information from calls and referrals.
- Follow up with previous callers and referral sources when appropriate.
- Foster and maintain strong relationships with internal stakeholders and external referral partners.
- Create initial medical records for new clients.
- Coordinate client intake processes with facility managers to ensure smooth entry into treatment programs.
- Represent the center at outreach events, conferences, and trade shows to educate the community about available services.
- Provide intervention support during crisis situations based on training and experience.
- Collaborate with colleagues and departments to stay informed on program offerings and availability.
- Participate in team meetings and assist with professional learning and development activities.
- Perform other duties as required to support the program and organization.
Qualifications:
- Education: High School Diploma or GED preferred.
- Experience:
- At least one year of experience in customer service, sales, or substance abuse/mental health treatment preferred.
- Previous experience working in the mental health or addiction treatment field is a plus.
- Skills:
- Bilingual (English/Spanish) a plus.
- Strong empathy and compassion in handling sensitive client situations over the phone.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to manage multiple tasks effectively and thrive under pressure.
- Excellent communication, problem-solving, and decision-making skills.
