GENERAL STATEMENT OF JOB
Under direct supervision performs routine clerical, secretarial, and general office assistance duties that are limited in variety and scope. Work typically involves answering the telephone, directing calls and responding to basic requests for information. Employee is responsible for performing routine clerical tasks in the processing of forms and records requiring the limited application of office procedures and departmental rules and regulations within established guidelines. Detailed instructions are given and most tasks are routine and repetitive in nature. Employee is also responsible for data manipulation through various computer-driven word processing, spreadsheet, and file maintenance programs. Reports to the appropriate level supervisor as designated by the district. Position requires working closely with students and serving as a mentor to certain students.
**This position is temporary with partial benefits and will end on 5/30/2025**
DUTIES AND RESPONSIBILITIES
ESSENTIAL JOB FUNCTIONS
- Greets all visitors courteously, determines their needs, checks appointments, and directs or escorts them to the proper person.
- Answers school system telephone and responds appropriately to requests for information.
- Directs all incoming US mail, state courier mail and school courier mail to appropriate staff members, and processes all outgoing US mail and courier mail.
- Works with all shipping companies to receive packages, and in some cases, match shipment against manifest.
- Distributes student medications and serves on the MERT team.
- Coordinate locker distribution and picture scheduling.
- Provide support for lunch and report daily lunch orders.
- Serve as a liaison between technology and the school. Reports technology issues as needed.
- Write receipts for students and parents.
- Serves as a mentor to a group of students within the school.
- Assist parents and students with sign-in and sign-out procedures.
- Report attendance and use Powerschool as needed.
- Performs other related work as required.
KNOWLEDGE, SKILLS AND ABILITIES
- General knowledge of computers and appropriate software, especially Google apps & Microsoft Office.
- Ability to demonstrate proper telephone etiquette.
- Ability to screen calls and determine the most suitable call recipient.
- Ability to problem-solve basic issues with the telephone system.
- Considerable knowledge of correct spelling, grammar, and vocabulary usage.
- Considerable knowledge of modern office practices and procedures.
- General knowledge of the rules, regulations, procedures and functions of the office to which assigned.
- Ability to deal with people in a tactful and effective manner and to use judgment and discretion in giving out or withholding confidential information. This function includes working with vendor representatives on salespersons on cold calls.
- Ability to perform assignments on the basis of general outlines or directions without specific instructions as to details and to perform continuing assignments independently.
- Ability to use word processing software to type material of any degree of difficulty at an average speed.
- Ability to perform multiple tasks at one time.
- Ability to organize one's work.
- Knowledge of the use of general office equipment.
- Ability to exercise independent judgment and initiative in completing work assignments.
- Ability to record general mailbox greetings and change them from remote locations.
- Basic knowledge of the schools within the Catawba County Schools system, including grade spans, administrators, general location and hours of operation.
MINIMUM TRAINING AND EXPERIENCE
Graduation from high school with preference given to an Associate's degree in secretarial science or office management and one year of experience in secretarial functions, or an equivalent combination of education, training and experience that provides the knowledge, skills and abilities required to perform the job functions. Experience in a public school setting is a bonus but not required. College Transcripts showing 48 semester hours with a "C" or better uploaded with your application or complete the WorkKeys Certification and upload the test scores to your application.
MINIMUM STANDARDS REQUIRED TO PERFORM ESSENTIAL JOB FUNCTIONS
Physical Requirements: Requires light physical work. Must be able to lift mail and boxes up to ten pounds. Must be able to sit at a computer for extended periods of time.
Interpersonal Communication: Requires the ability to speak and/or signal people to convey or exchange information.
Intelligence: Requires the ability to apply common sense understanding to carry out instructions furnished in written or oral form.
Verbal Aptitude: Requires the ability to record and deliver information, to explain procedures, to follow oral and written instructions. Must be able to communicate effectively and efficiently in Standard English.
Numerical Aptitude: Requires the ability to add, subtract, divide and multiply.
Motor Coordination: Requires the ability to coordinate hands and eyes rapidly and accurately in using a keyboard.
Interpersonal Temperament: Requires the ability to deal with people beyond giving and receiving instructions. Must be able to perform under minimal varying levels of stress.
Physical Communications: Requires the ability to talk, write and hear.
