What are the responsibilities and job description for the Coordinator - CVCC Tarlton Complex position at Catawba Valley Community College?
DEFINITION:
To perform a variety of responsible and confidential administrative duties regarding the management and supervision of the Tarlton Complex; to provide expertise and service to the campus and community; to represent the interests and needs of the college to all constituencies of the Tarlton Complex; to provide necessary support and leadership to faculty, staff, students, and the public; to maintain data specific to responsibilities for use by the college and community-at-large.
SUPERVISION RECEIVED AND EXERCISED
Receives general supervision from the Vice President of Business Affairs.
Exercises supervision over full/part-time and/or contracted support staff within the operations of the Tarlton Complex and associated areas.Manage and coordinate routine operations, as well as resolve problems and emergency situations of the Tarlton Complex.
Schedule meetings and events within the Tarlton Complex, for internal and external groups during the day, evening, and on weekends. Coordinate classroom usage with the campus classroom coordinator.
Oversee all programs and events by maintaining on-sight supervision and management at all times; providing necessary set-up by utilizing both campus resources and outside contracted services as necessary.
Keep all Tarlton Complex equipment in good working order through plans for equipment replacement, routine maintenance, and regular quality assurance checks.
Maintain and report information regarding the use of the complex by internal and external groups as appropriate through the maintenance of lists/files of all programs, events, clients, and services within the Complex.
Coordinate, compile, and maintain an updated calendar of programs and events within the complex, including the distribution of this schedule to campus and the community on both a monthly and quarterly basis.
Coordinate personnel coverage for all events scheduled in the complex. Secure assistance from campus security and safety, maintenance, and other offices as necessary.
Maintain fee schedules, complex regulations, client files, and other necessary information.
Serve as the primary contact for all person-groups requesting use of the complex. Work with all use requests – providing support and information to all clients. Provide appropriate paperwork to all constituents in a timely manner, and process necessary documentation for all events. Maintain and process all necessary information for campus security and safety and business office.
Develop and maintain a positive relationship with all clients of the complex. Provide superior customer – oriented atmosphere within the complex.
Compose and prepare memos, reports, and correspondence for the Tarlton Complex.
Manage paperwork for the Tarlton Complex.
Manage departmental budgets.
Prepare goals and objectives for the Tarlton Complex.
Provide information and support to students, staff, faculty, and guests.
Perform other duties as assigned by the Vice President of Business Affairs.Education:
Bachelor's degree required.
Experience:
Three years of experience in facilities management, hospitality management, or conference and event management.
Knowledge of:
Environmental Conditions:
Office and multi-room complex environment, exposure to computer screens, exposure to cleaning chemicals and material, irregular hours of work.
Physical Conditions:
Essential and other important responsibilities and duties may require maintaining a physical condition necessary for walking, standing, or sitting for prolonged periods of time; lifting and carrying moderate to heavy materials, working in large crowds of people.
