Position: Executive Assistant
Salary Range: $28.00 - $30.00
Catholic Charities Diocese of Stockton has an opening for an Executive Assistant full-time position, 40/Hrs. per week. The Executive Assistant’s role will provide high-level administrative support to the Executive Director. As an Executive Assistant, you will manage complex calendars, arrange travel, handle communications, and prioritize inquiries. The Executive Assistant role will be crucial in ensuring the smooth operation of the ED's day-to-day activities while maintaining confidentiality and professionalism, often requiring strong organizational, communication, and time management skills. The incumbent/candidate will attend Catholic Charities Board meetings, prepare minutes, and make logistical arrangements as necessary. The Candidate /incumbent must have an AA Degree or equivalent, four years of successful work experience in an office administrative capacity, and demonstrated computer proficiency competence. Work experience in a social service environment is desirable.
Responsibilities/Duties:
· Provide high-level administrative and confidential support for the Executive Director, Board of Directors and Board Committees.
Arrange
· Arrange travel and accommodations for ED, Managers, and Administration Team
· Coordinates and schedules board committee meetings, prepares agendas, takes notes, and prepares minutes.
· Organizes meetings, including scheduling, sending reminders and organizing catering when necessary.
· Handles special projects and information requests as assigned.
· Plans, organizes, and coordinates company-related events, luncheons and celebrations
· Provides assistance to the phone system with recordings, greetings, and holiday messages.
Skills/Requirements:
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
