Job Function:
Greet clients and visitors to the Catholic Charities North Dakota office with a warm welcome and professional attitude. Answer, screen and appropriately direct incoming calls and messages after securing the minimum information necessary. Assist the Directors, Supervisors, and office staff in administrative duties and support Programs within CCND. Able to work with limited supervision.
Job Responsibility (Essential Functions):
- Answers, screens and transfers phone calls.
- Receives and distributes office mail.
- Welcomes and directs visitors and clients.
- Maintains office supplies and coordinates maintenance of office equipment.
- Schedules and organizes appointments as well as provide intake forms and information for CCND's Counseling department.
- Provides support for Catholic Charities ND, PPAS (Pregnancy, Parenting, and Adoption Services) including but not limited to state forms, court documents, filing, inputting into our Electronic Health Records system, etc.
- Performs administrative duties of a confidential nature for all agency divisional staff and any other duties requested by the appropriate program Directors.
- Coordinates and assists in CCND events throughout the offices and community.
- Other duties as assigned by Program Directors and Supervisor.
Preferred Qualifications:
- Reliable and the ability to work in person Monday-Thursday, 7:30am-5:00pm, Fridays, 8am-noon.
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Proficient in Microsoft Office Suite or related software.
- Ability to multitask with interruptions throughout the day.
- Excellent organizational skills and attention to detail.
- Basic understanding of clerical procedures and systems
- Ability to work independently.
License/Certification:
- Driver's License (Required)
