Catholic Charities of Baltimore, Caritas House, is currently seeking an Admissions and Billing Supervisor who will manage referrals, admissions, and bed occupancy to meet budgetary requirements, while ensuring positive interactions with residents, families, and the community. It also includes overseeing office administration, billing, compliance, and leadership responsibilities, including staff management, policy development, and customer service improvement. The work schedule is Monday – Friday, 7:00am - 3:30pm.
Caritas House is a community for seniors that provides additional services that help our residents remain independent and safe. Our Elder Assistants help our residents with their activities of daily living including dressing, personal hygiene, housekeeping, and laundry services. The Care Assistant assists residents who are physically and/or socially impaired and need 24-hour oversight, with activities of daily living, always fostering residents’ independence and freedom of choice.
JOB DUTIES & RESPONSIBILITIES:
Marketing & Business Development:
- Manages referrals efficiently and responds promptly to inquiries from hospitals and the community.
- Oversees bed occupancy to meet budgetary requirements for Caritas House.
- Handles phone inquiries, conducts family tours, and coordinates with community contacts to facilitate admission decisions. Ensures that residents and clients receive positive interaction when visiting or calling the facility.
- Develops, revises, and ensures the completion of facility admission and post-admission procedures, including follow-ups with families, physicians, and hospitals, while maintaining accurate records of inquiries, admissions, discharges, and daily census information.
- Works with maintenance and housekeeping to ensure that rooms are clean, and repairs are finished prior to resident admission.
- Prepares and executes annual marketing plans and organizes plans such as tours, luncheons, and seminars for referral groups.
Billing & Office Administration:
- Responds to requests for client information and schedule appointments for residents.
- Ensures proper transfer of records at discharge, maintains accurate documentation in charts, verifies completeness of paperwork, and monitors internal medical records for assessments, evaluations, consent forms, and other documents in compliance with COMAR regulations.
- Ensures compliance with relevant policies, prepares reports on departmental activities for Utilization Review, and maintains effective communication with colleagues, agencies, residents, and families.
- Manages the ordering and distribution of department supplies and oversees billing submissions to Accounts Payable.
- Completes annual redeterminations including follow up with families • Reviews elder accounts for payment source and level of care.
- Assists with daily posting of census and cash, while maintaining thorough documentation of contacts with elders, families, and responsible parties.
- Coordinates schedules for nighttime and weekend reception.
- Performs other duties as assigned.
Leadership:
- Manages and directs the work of others, including recruiting, onboarding, and conducting performance reviews, while overseeing work schedules, approving time off requests, and providing feedback, coaching, and ensuring accountability and effective performance.
- Develops and implements new policies and procedures for assigned job functions, ensuring adherence and accountability in execution.
- Creates and manages customer service policies to enhance departmental efficiency and service quality.
Administrative:
- Answers and transfers phone calls, screens when necessary, and welcomes and directs visitors, volunteers, and clients.
- Maintains filing systems, records, and distributes meeting minutes, and manages office supplies while coordinating the maintenance of office equipment.
- Perform other duties as assigned.
EDUCATION AND EXPERIENCE REQUIREMENTS:
- Two (2) years of experience in healthcare administration, billing, or related role. An equivalent combination of education and experience may be considered.
- Experience working with residents, family members, visitors, colleagues, and the public.

- Requires proficiency in using computer systems and software to perform job function. Basic Windows PC, web browsing (i.e., Chrome, Internet Explorer, etc.), and Microsoft Outlook are required. Knowledge of other Microsoft Office application knowledge, such as Word, Excel PowerPoint, Teams, and OneDrive is preferred.

- Flexibility may be required to work beyond standard hours, including weekends and holidays, as needed.
- Remaining in a stationary position, which may involve standing or sitting for extended periods, as required to complete tasks or duties associated with the role.
- Light work that includes moving objects up to 20 pounds in all directions, which may include lifting, carrying, pushing, pulling, or repositioning items as necessary to perform job duties.
