Position Objective
This position shall provide oversight and supervision for the following programs: Onsite and community distributions. The Program Manager will provide supervision to and be responsible for program implementation and management, strategic planning and marketing, quality assurance, contract and grant compliance, staff supervision and fiscal management for these programs in the greater Kansas City and St. Joseph areas. This position requires collaboration with all staff members and volunteers.
Essential Duties
- Program implementation, management, and expansion, assuring high quality services.
- Explore opportunities for additional funding resources for designated programs, in conjunction with the Director.
- Participate in community efforts to explore unmet needs and to develop new programs in response to those in need, as assigned.
- Manage daily program operations to ensure implementation and compliance of grants and contracts.
- Prepare contract/grant reports assuring that reporting requirements are met.
- Oversee the acquisition, spending, and monitoring of program funds.
- Provide outreach, support, and coordination with the community agencies.
- Work with the Director, Welcome Center, and the finance department in creating and monitoring budgets.
- Work closely with marketing to publicize programs.
- Ability to work well with multiple and diverse community partners for each program.
- Engage and supervise volunteers as needed in each program, this includes supervising the volunteers to ensure proper execution of tasks and customer service while they are helping in the food pantry.
- Oversees all aspects of the daily operations of the Market services.
- Orders food for the Market, monitors nutritional content, tracks inventory, and receives weekly deliveries, keep budget for foods ordered, and other statistic details.
- Ensures food pantry, office space, storage room, etc. are all clean and well organized.
- Follows KCMO (Kansas City Missouri), USDA (United States Department of Agriculture) and Harvester’s food safety/food handling guidelines.
- Ensures compliance with Federal, state, city, and OSHA safety guidelines, as well as the USDA (United States Department of Agriculture) and Harvester’s food safety/food handling guideline, OR
- Work with Operations Manager to ensure compliance with OSHA safety guidelines as it relates to the operation of onsite and mobile food pantries.
- Monitors annual program spending allocation as instructed by Welcome Center Director.
- Ensures that qll Group Distributions are entered and completed in the internal database ETO (Effort to Outcome) within 24-48 hours after services have been provided.
- Work closely with staff, Program Managers, Directors, and others to supply quality service, alongside collaborate to support the Welcome Center staff as needed.
- Manages client data input and supplies monthly statistics report to Welcome Center Director.
- Participates in supervision and monthly staff meetings, trainings, and other agency-related activities.
- Willing to travel in order to help as needed at all Welcome Center sites.
- Ensure program staff follow all Agency and program policies and procedures, including confidentiality.
- Oversee client/participant information and case files assuring that program/contract guidelines and expectations as well as required documentation are met.
- Represent the agency’s mission, philosophy, and purpose to the community.
- Provide outreach/collaboration services as needed and requested by supervisors.
- Attend Agency, funders and community meetings as requested. Maintain working relationships with community agencies to provide comprehensive services to clients and to stay abreast of current trends and available resources.
- Attend in-service training including internal and external conferences/workshops as required, requested, and approved by supervisor.
- Treat all internal and external customers with respect and exhibit positive behavior in dealing with clients, participants, co-workers, supervisors, volunteers and interns, partners, collaborators, and the general public.
- Perform other activities as needed and requested by supervisor with the goal of providing excellent quality of services for the clients/participants, the agency, and community.
- Supervise and track all related outcomes, maintain statistical data as required, and provide contract/grant reports assuring that grant and reporting requirements are met.
Requirements
Education and Experience
- Master’s degree or above in Social Work or related field from an accredited institution and 2 years of experience in direct services or case management; or
- Bachelor’s degree in a Human Service field and 4 years of experience in direct services or case management.
- Licensure or certification preferred.
- Minimum 2 years supervisory experience.
Skills and Competencies
- Ability to operate a forklift or be trained to use this equipment is essential.
- Mobility is necessary as this is not a sit-down position and is very physical.
- Ability to comprehend, document, and converse in Standard English.
- Excellent verbal and written communication skills.
- Sound judgement and reasoning ability/skills; problem solving and conflict resolution skills.
- Proficient knowledge of computers and software programs.
- Demonstrated ability to interact positively with grantee, referral sources, other agencies, and community partners.
- Demonstrated ability to work with diverse populations including those with a criminal record.
- Skilled at handling multiple demands and competing priorities and excellent time management skills.
