General Position Summary :
The Construction, Real Estate & Property Management Coordinator supports diocesan parishes and schools by overseeing construction approvals, property management, and contract documentation. This role also manages property tax payments, tax exemptions, and property transactions. Additionally, the coordinator assists with facility operations at the Catholic Center and facilitates invoice processing related to construction and property management.
Principal Accountabilities :
- Assist parishes with construction questions, ensure Summary Project Proposals are sent in for approval for all projects over $10,000, track SPPs, return authorized SPPs to the appropriate person at the parish or school and prepare contracts for projects.
- Manages all property management activities at all facilities that are the direct responsibility of the Real Estate and Construction Management Department
- Coordinates the Contract Documentation Process for construction projects including generating contracts
- Assists director and Chief Operating Officer with property acquisitions and sales which includes research to see if a donated property can be easily resold and ensure that there are no encumbrances on the property
- Obtains parish authorization to pay invoices associated with construction and property management and prepares payment requests
- Oversees operations in the Catholic Center, maintains supplies in the kitchen and service center, processes mail when necessary
- Files tax exemption applications on newly acquired properties that are eligible with the appropriate county
- Manages the payment of all property taxes for the diocese and serves as the primary liaison with county authorities in all jurisdictions where diocesan properties are located
- Programs access credentials for the Catholic Center, obtains security codes for the alarm and issues necessary keys for new employees. Makes sure keys are collected and alarm codes and FOBs are deactivated for terminated employees
- Ensures that all agreements align with diocesan contract policies and procedures, incorporating external terms as necessary while maintaining diocesan standards. Communicates contract procedures clearly to new vendors.
- Selects and maintains off-site storage facilities
- Selects and oversees all vendors for Catholic Center property management services
- Performs all other duties and responsibilities as assigned or directed by the director. -Performs related duties based on Catholic Center needs.
