General Position Summary : The religious education secretary has the responsibility of assisting the DRE in the secretarial task. The secretary needs to be a person willing to serve the catechetical office, needs of our families and catechists, assistants and collaborators in general.
The secretary is expected to meet with the DRE regularly to establish time-tables for ongoing projects according to the Religious Education calendar. The candidate will be expected to take time to develop her skills as needed to perform the required tasks. This position is for 19 hours per week.
Principal Accountabilities :
- Maintain updated records for the parish office of religious education
- Serve as a link for parent contact
All other duties deemed necessary by the DRE
Maintain computer database of students registration in the program and catechistsCoordination of the registration process during the summer.Have Database of student’s records, including attendance registers according to grade school & record of text books.Have an e-mail to keep communication to the Diocesan Office of Catechesis.Maintain office recordsCatechists filesAttendance recordsSacramental recordsPrepare materials of RE eventsType certificates of sacramentsType booklets of RCIA, First Communion. and ConfirmationType agenda of catechetical meetings and parents’ reunions.Make copies of materials in generalAnswer telephone and door according to scheduleBe present at the office on SaturdaysMaintain office location in orderThis position works in a typical office environment, but is subject to stress due to the evolving and quickly expanding business needs, tight deadlines and heavy workloads. In collaboration of the Director of Religious Education (Sister), this position implements operational decisions.Supervision Given and / or Received :
Following strategic alignment with the Director Religious Education it is anticipated employee is largely self-sufficient. It is further expected that employee will demonstrate the proper insight to share details and obtain approval as necessary from the Religious Education Director.Internal Contacts :
Diocese Pastors, Priests, School Presidents, Principals, Business Managers, and employees.External Contacts :
Parish Community, Diocese vendors, local, state, and federal agency representatives, and auditors.Working Conditions and / or Physical Requirements :
This position works in a professional office environment but is subject to stress due to the evolving and quickly expanding business needs, tight deadlines and heavy workloads.This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, etc.This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary, extending arms and reaching files stored in multiple levels on file shelves, climbing up a step ladder to access files.Significant amount of time regularly spent answering and speaking on the telephone and corresponding via email.Database entry via computer keyboard that requires repetitive hand and wrist movements.Ability to lift up to 35 pounds without assistance and up to 60 pounds with assistance.Travel Requirements :
Infrequent travel, by car, may be required to Diocese Parishes and / or schools.
Education and Experience Preferred :
Associate degree preferred with at least 1 – 2 years of administrative experience.High level of competence with Microsoft Office Suite and GoogleBilingual English and Spanish strongly preferred.Knowledge and Skills Preferred :
Microsoft Office 365 / Intermediate to advanced capabilities with a heavy emphasis in Excel, PowerPoint, and Word.Demonstrated professional written and verbal communication skills.Demonstrated analytical, customer service skills and the ability to multi-task.Must be a practicing Catholic in good standing with the Church with knowledge of Catholic Church organization and function.Ability to maintain the highest degree of confidentiality and professional discretion.Proficient and professional in both oral and written communication.Excellent telephone and interpersonal skills; ability to interact competently and compassionately with those who call or visit the parish as well as with parish staff and volunteers.Ability to organize and mulit-task.FLSA Designation : NonExempt Part-Time (M-F 3pm to 7pm & Sun 9am – 2pm)
