Job Summary and Qualifications
POSITION SUMMARY:
Manages and performs general and diversified duties for the Directors of Facilities Management, Environmental Services, Clinical Engineering, and associated subcommittee Chairs.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
Under the direct supervision of the Directors of Facilities Management, Environmental Services, and Clinical Engineering, and within organizational policies and procedures, the incumbent performs the following functions;
Reviews, verifies content, and processes work requests received by the work request/CMMS system, and by telephone. Assigns routine, preventative, and emergency work requests to appropriate technicians and/or department supervisors. Dispatches by telephone, radio or pager appropriate maintenance technicians, including contracted vendors as applicable.
Enters and maintains work order data into the work request/CMMS system, and generates reports a requested/needed.
Gathers and organizes information from a variety of sources to assist professional staff in the administration of Joint Commission Environment of Care and Life Safety programs, including but not limited to; utility management, hazardous waste disposal, preventive maintenance, and equipment management.
Manages the office functions of the Departments of Facilities Management, Environmental Services, and Clinical Engineering. Serves as first point of contact for visitors and vendors, arranges for badges and keys, responds to requests for information, maintains office systems, prepares correspondence, and monitors logs of items requiring actions. Create memoranda, policies, departmental manuals, and forms. Performs data entry, word processing, filing and photocopying duties. Collects, opens, screens, and disseminates incoming mail. Prepares outgoing mail.
Manages departmental payroll information and employee weekend/holiday/on-call schedules. Assists the department Directors in rolling out and tracking benefits and programs for individuals within the department, including but not limited to uniforms, training, safety appointments, and the like. Supervises assigned data entry personnel, who might be from other departments on light duty, or volunteers. Provides training as necessary.
Maintains financial and budget information needed for effective operation of a department. Tracks and posts invoices and purchase orders within the hospital computerized system, and tracks expenditures in a variety of accounts within the department. Provides reports and information for budgetary purposes.
Coordinates parts ordering and receiving, as well as the processing and tracking of service contracts. Processes all invoices for materials and services received by the department, preparing appropriate receiving reports and obtaining authorization to pay the invoices. Investigates and reconciles discrepancies in invoices. Forwards all invoices with appropriate documentation to the business office for processing.
Schedules meetings, prepares agendas, attends and records minutes as directed and assigned. Distributes Facilities, Environmental Services, and Clinical Engineering information to appropriate personnel throughout the hospital and off site departments.
Attends educational programs and in-services to enhance knowledge/skills required to support the Facilities Management, Environmental Services, and Clinical Engineering program.
Participates in appropriate role in disasters, fire drills, fires and other emergency situations. Responsible for complying with and enforcing all established and departmental policies and procedures.
Performs similar or related duties as required or directed.
What qualifications you will need:
Education:
High School Diploma required.
Associates Degree preferred.
Experience:
A minimum of two (2) years in a secretarial position within a hospital/healthcare setting.
Preference given to Facilities/Maintenance and/or Joint Commission experience.
Experience with Microsoft Office.
Proficiency with Word and Excel required.
Working knowledge of PowerPoint and Computerized Maintenance Management Systems (CMMS) preferred.
