You have honed your customer service organizational and communication skills and you enjoy working with a small team to make a big difference in the world. PRIMARY PURPOSE OF POSITION
Reporting to the Chief Operating Officer the Operations and Development Assistant will play an integral role in ensuring that the department and office operate smoothly. You ll work closely with the COO and other members of the team as you perform tasks supporting the Operations and
Development department and maintaining the headquarters office.
POSITION RESPONSIBILITIES
Operations and Development Team Support
Process and enter donations into Salesforce promptly and with a high degree of accuracy attention to detail and critical thinking.
Create and update new accounts and contact entries in Salesforce while checking for and obtaining and missing information to ensure records are complete and accurate.
Regularly prepare and distribute donation and donor reports.
Prepare check deposits deposit checks as needed document checks received and complete credit card reconciliation worksheets in a timely manner.
Scan upload and electronically file checks and award letters.
Manage the inventory distribution and storage of inkind donations.
Create and update documents letters and spreadsheets for the team and organization.
Prepare and distribute the meeting notes for weekly staff meetings and department meetings.
Prepare supporting materials such as budgets organizational information and letters of recommendation and other important documentation for grant application submission.
Maintain a calendar of grant submission deadlines to ensure proposals are submitted on time.
Assist the Operations team with board and committee meeting preparation including agendas prereading materials and calendar invitations.
Additional duties and projects as needed including special event support.
Office Administration
Oversee office operations and perform administrative tasks including monitoring and ordering office supplies; receiving distributing and shipping mail and packages; and scanning and filing documents.
Greet people calling and visiting the office and provide accurate responses to their inquiries or connect them to the appropriate team member. Interact with donors partners volunteers and contractors in a professional and friendly manner.
Manage the organization s general email inbox and voicemail by reviewing and organizing emails and voice messages forwarding to appropriate staff members and followingup to confirm staff members have replied.
Communicate with staff building management and outside vendors to ensure office and facilities needs are met. Serve as the main point of contact for external vendors while they are on site and elevate any issues to the appropriate team member.
Organize and maintain electronic and physical filing systems. Create and use consistent naming conventions for electronic files so that documents are easily retrieved by all users. Ensure security and consistency of physical filling systems.
Assist with developing and updating standard operating procedures for the office and monitoring adherence to office guidelines and policies.
Utilize Kudoboard to manage gratitude celebration and sympathy gifts and activities for staff and board members.
Maintain and organize the offsite storage unit.
Deliver and receive office supplies and technology from staff members as needed including onboarding and offboarding.
Distribute oversee and collect items related to office access.
QUALIFICATIONS
Minimum of 3 years of relevant experience in a related position; nonprofit experience a plus.
Advanced skills in the GSuite and Microsoft Office Suite.
Experience with Customer Relationship Management software (CRM) such as Salesforce or similar software.
Experience using or managing office files and record keeping systems especially cloud storage systems such as Google Drive or Dropbox.

REQUIREMENTS
Ability to work in the Oakland CA headquarters 3 days per week and run short errands outside of the office once a week.
Must own or lease a vehicle and possess a valid driver s license with a clean driving record.
Ability to work nights and weekends as needed for special events.
Comfortable with travel for multiday trips.

PHYSICAL DEMANDS

COMPENSATION
Compensation : The position is nonexempt with a base salary range of $60000$70000 annually commensurate with experience.
