Pathology Department Administrative Assistant - Full-Time

The Administrative Assistant is a vital member of our team and is responsible for providing superior customer service to all constituents of the laboratory. This person will act as the central point of contact and therefore plays a primary role in promoting a professional image and valued reputation. The administrative assistant to the pathology department assists the pathologists and administrative director by performing a variety of clerical and clinical functions to include the prompt and accurate clerical review of pathology cases, organization of outside testing and consults, and communication with physicians and other facilities. This individual may also participate in postmortem examinations. This role provides high level of support including but not limited to data collection and tracking, appointment scheduling, filing, purchase orders, event planning and coordinates requests during accreditation agency surveys.
Roles and Responsibilities:
- Pathologist Support
- Prompt and accurate clerical review and prioritization of pathology cases.
- Accurate entry of clinical information, intraoperative consultation and outside test results and gross only diagnoses.
- Provide excellent customer service when communicating with patients, physicians and other facilities in regards to outside consultations, test results, procedure appointments, etc.
- Request, coordinate and track outside consultations.
- Transcribe letters and other correspondence as requested by the pathologist.
- Prompt and accurate entry of markers for cancer registry patient follow-up.
- Maintain records and reports in accordance with department document management policies.
- Responsible for accurate registration, specimen identification, accessioning and requisitioning - maintaining specimen integrity throughout the process.
- Maintain a compliant environment, including adherence to all lab and hospital procedures, New York State and Joint Commission regulations, HIPAA standards, infection control and safety guidelines.
- Maintain professional and technical knowledge by participating in continuing education opportunities - acquire a minimum of 12 hours of continuing education per year.
- Participate in postmortem examinations.
- Other duties, as assigned by supervisor.
- Administrator Support
- Maintains calendars. Schedules meetings as assigned promptly, without conflict, with proper notification to all involved. Appropriate time allowed for meeting and necessary materials assembled and set up. Takes meeting minutes and distributes to as appropriate.
- Answers and handles phone calls and directs inquiries accurately and efficiently.
- Disseminate important information such as upcoming events, meetings, or changes to lab personnel as assigned.
- Orders office supplies and monitors inventory
- Maintains accurate, complete, and detail-oriented records in accordance with accreditation standards.
- Assists in maintaining databases, organizes and files records in a timely fashion
- Plan department events as necessary; coordinate team celebrations, including Lab Week, birthdays, milestones, retirements, etc. Coordinates support during accreditation agency surveys.
- Tidy up common spaces, including conference rooms, kitchens, and other collaborative spaces to be presented in a professional and welcoming manner for visitors and guests.
- Organize, prioritize and present administrative documents that are submitted for administrative review
- Assists in submitting, coordinating and tracking work orders and help desk tickets as needed
- Deal with sensitive issues that require confidentiality and must be handled with tact and diplomacy
- Other duties as assigned
Required Skills and Experience:
- High school diploma required, some college or science courses preferred.
- 1 year of prior experience as an Administrative Assistant preferred.
- Excellent written and verbal communication skills.
- Exceptional time management and ability to prioritize work.
- Possesses a strong attention to detail, and the ability to stay organized.
- Knowledge of Microsoft Office applications.
- Must exhibit the ability to multi-task, work with little supervision, and successfully problem solve.
- Ability to naturally project a positive, energetic, and professional image and manner at all times.
- Ability to work with diverse personalities within various levels of the organization.
Preferred Skills and Experience:
- Prior laboratory experience preferred; prior knowledge of medical procedures and terminology preferred.
Physical Requirements:
- Repetitive use of hands and sitting for long periods of time required.
Location and Travel Requirements:
- Onsite at 101 Dates Drive, Ithaca, NY 14850
- Shift: Full-Time Days
- 0-5% Travel can be expected in this role
Pay Range Disclosure:
- $20.75 to $24.00 per hour plus benefits
