General Role Description
This position is responsible for maintaining accurate financial records, processing transactions, and ensuring compliance with applicable laws and regulations. The ideal candidate will support the CFO in managing the organization’s financial operations and work closely with program managers to ensure accurate financial reporting for various programs.
Duties and Responsibilities
- Assist in maintaining the general ledger, ensuring all entries are accurate and timely.
- Prepare and post journal entries for various financial transactions, including payroll and monthly close
- Reconcile balance sheet accounts, including bank accounts, prepaid expenses, and accruals
- Generate monthly financial statements for internal use, including variance analysis to support management decision making
- Track and report on restricted and unrestricted funds, ensuring proper allocation of funding as needed
- Prepare monthly, quarterly, and annual reports for various agency contracts and funding sources
- Assist in preparation of the annual budget
- Supports annual external audits by preparing necessary documents and reports
- Assist in ensuring compliance with applicable tax regulations, including filing 990 tax returns
- Provides assistance and backup for other Finance department staff as needed.
- Serves on agency committees as requested
- Assists the CFO with year-end procedures and audits
- Is mindful of and integrates Trauma-Informed Care and its five principles in all duties and interactions with fellow staff, residents, and external partners
- Maintains compliance with all required rules and regulations, including Federal Confidentiality (42 CFR, Part 2), HIPAA, Medicaid and/or HUD, and any others
- Regular attendance at work location.

Defined Key Result Areas
1. Ensures the timeliness and accuracy of grants, subsidiary companies and special projects outside of resident programs and annually provides at least three recommendations for financial improvements within the assigned areas.
2. Annually provides the Finance department with two recommendations for improvement of the cash monitoring process or cash efficiency.

Inter-Departmental Relationships
1. Advising and suggesting: this position will be expected to listen and accept collaborative input, direction, or recommendations from Executive-level and Management-level staff. Meanwhile, it will provide collaborative input, direction and recommendations to Direct Service staff.
2. Monitoring and reviewing work: this position may have work inspected or checked by and may need to present updates on certain tasks to Executive and Management staff. Meanwhile, it will inspect and check the work of and receive updates from Direct Service staff.
Physical Requirements
- Physical activities: Frequently moving between offices and buildings and constantly and successfully communicate with others, discern and convey emotion, understand and exchange accurate information.
- Physical requirements: Remain in a stationary position for long periods of time. Must be able to lift up to 15 pounds.

- Knowledge of GAAP and nonprofit accounting principals
- Possesses excellent verbal and written communication skills

- Possesses an independent and solution-based problem solving ability
- Possesses proficient computer skills, including Microsoft Word, Excel, and QuickBooks
Qualifications
- Bachelor’s Degree in Business, finance or related field and one year of prior experience in a finance related field
Or
- Associate’s Degree in Business and two or more years of prior experience in a finance related field.
Or
- High school diploma or G.E.D. and seven or more years of prior experience in the accounting field.
- In addition the qualifications above, a valid New York State driver’s license is required with reliable automobile.
