CBA Elevator Consultants is seeking a detail-oriented and highly organized Project Coordinator to join our elevator consulting team. The Project Coordinator will play a crucial role in supporting the project management team by ensuring efficient coordination and execution of elevator projects. The ideal candidate should have strong communication skills, excellent time management abilities, and a keen eye for detail. This role requires working closely with cross-functional teams, clients, and vendors to ensure the smooth implementation of elevator projects.
Responsibilities:
- Assist the project management team in planning, organizing, and tracking elevator modernization / new installation projects from initiation to completion.
- Coordinate and schedule project activities, meetings, evaluations, engineering surveys, and resources to ensure timely project execution.
- Maintain project documentation, including project plans, schedules, budgets, and status reports.
- Collaborate with internal departments, including engineering, sales, accounting, and test witnessing to ensure effective project coordination.
- Communicate with clients, architects, contractors, and vendors via email, phone, online and in-person meetings to facilitate project-related communications and address any concerns or inquiries.
- Perform site visits and on-site meetings as needed.
- Track and monitor project progress against key milestones and deliverables, reporting any deviations to the project manager.
- Track monthly consulting work to ensure budgets are met and all deliverable items are completed in a timely manner.
- Assist in the preparation of project-related materials, including presentations, proposals, and technical documentation including, but not limited to, schematic and design development reports, project specifications, and bid documentation.
- Support the internal project management team and our clients by coordinating with elevator companies and obtaining necessary information regarding project status including, but not limited to, project cost, delivery of equipment and materials, and mobilization of the elevator teams.
- Assist in monitoring project budgets, tracking applications for payment, and ensuring payments align with current project schedule.
- Coordinate and participate in project meetings, documenting minutes and action items.
- Collaborate with the project management team to identify and mitigate project risks and issues.
- Stay updated with industry trends, regulations, and best practices related to elevator projects.
