The Camden County Council on Economic Opportunity, Inc. is seeking a dedicated and organized Residential Administrative Assistant to oversee daily operations and support our residents at the Sheridan Apartments in Camden, NJ. This role ensures smooth apartment complex management by handling administrative duties, resident interactions, and financial tasks while fostering a positive living environment.
Responsibilities:
Resident Services & Customer Support
- Serve as the main point of contact for residents, responding to inquiries and resolving concerns via phone, email, and in person.
- Assist residents with applications for Camden County OEO services and community referrals.
- Implement and enforce community guidelines while monitoring resident activities.
- Orientations and move-in/move-out coordination for new residents.
- Organize and distribute tenant notices, reminders, and important information.
Administrative & Office Management
- Handle general administrative tasks, including answering phones, scheduling meetings, and maintaining filing systems.
- Maintain inventory, process office supply requests, and submit orders to the Executive Director.
- Keep detailed records of tenant information, lease agreements, and compliance documentation.
- Ensure that all activities align with housing regulations and property management policies.
- Plan and coordinate community events and activities for residents.
Property & Lease Management
- Assist with lease preparation, renewals, and maintaining accurate tenant records.
- Conduct periodic apartment inspections to ensure cleanliness and safety.
- Conduct property tours for prospective tenants, highlighting key features and answering questions.
- Screen tenants by reviewing applications, conducting background checks, and verifying rental history and creditworthiness.
- Negotiate lease terms and facilitate lease signings.
Financial & Compliance Responsibilities
- Collect rent and other payments, ensuring proper tracking and record-keeping.
- Assist in processing payments and preparing financial reports as needed.
- Ensure compliance with fire and safety regulations and attend mandatory trainings, seminars, and workshops.
Qualifications:
- Education: Associate’s Degree preferred; High School diploma required.
- Experience: At least two (2) years of experience in apartment complex management or a related field.
- Skills:
- Strong interpersonal and customer service skills.
- Excellent organizational and written communication abilities.
- Computer literacy, including data entry and property management software.
- Ability to manage multiple tasks efficiently in a fast-paced environment.
- Additional Requirements:
- Valid driver’s license required.
