The Satellite Office Manager must demonstrate advanced skills and knowledge in all aspects of customer service, communication, and organization to uphold a high standard of care within CCRM. He / she reports to the Executive Director and should function independently in all areas. He / she collaborates with the Medical Director at each office as it relates to specific patient care needs and concerns, as well as the flow of the patient experience within the office. This position is responsible for the supervision and management of all staff at the satellite offices, providing input and resolving issues in coordination with staff members, physicians, and other departmental managers.

CCRM is currently comprised of eleven locations spanning the U.S. and Canada with growth planned for continued network development on a domestic and international basis.

ESSENTIAL FUNCTIONS :

  • Act as a role model for staff in the area of communication, professional behavior and uphold a high standard of patient care.
  • Provide direct supervision, leadership and guidance to all employees.
  • Act as a resource and role model for staff.
  • Work cooperatively with the Satellite Office Assistant Manager, providing advice and counsel, as needed.
  • Responsible for daily coordination of office staffing and office operation.
  • Coordinate information flow to staff of pertinent practice, policy or protocol changes.
  • Along with the nurse educator, assist in the implementation of new policies and procedures for the staff.
  • Collaborate with the staff of the satellite office to ensure smooth, efficient and timely flow of patient appointments.
  • Counsel staff to improve patient interactions, show improvement in standard of care and improve patient satisfaction.
  • Effectively address personnel issues to promote a productive and healthy work environment.
  • Interview and hire new staff. Counsel, take disciplinary action when needed and terminate staff when necessary.
  • Facilitate new hire orientation for staff, working with the nurse educator and other departmental managers to assure a well-rounded orientation experience.
  • Follow up with new hire preceptors as needed to follow progress and provide necessary feedback towards meeting new employee orientation goals.
  • Provide written feedback on performance with staff, completing interim and annual evaluations for all satellite staff.
  • Coordinate and lead staff meetings to assure excellent communication, increased efficiency, increased staff relations and excellent problem solving between members of the team.
  • Participate in communication and problem solving solutions with other departmental managers to assure effective patient care services.
  • Provide follow up for any patient satisfaction concern by reviewing concern with staff and physician and then implementing solution.
  • Assist with speaking to patient if they have a concern so resolution can be reached.
  • Coordinate and maintain required training / skills and education for staff.
  • Obtain educational materials for staff needs / education.
  • Assist with quality improvement projects and quality assurance as needed.
  • Assure that office needs are addressed with CCRM as well as support center wide approach to problem solving that supports the needs of all offices.
  • Maintain professional standing by participating in continuing professional education and professional organization membership.
  • Other duties as assigned.
  • REQUIRED QUALIFICATIONS :

  • Current Associates, Bachelor of Science or Bachelor of Applied Science degree required.
  • Bachelor of Science in Nursing with a current Colorado Registered Nurse license preferred.
  • Current BLS certification.
  • Minimum of 1 year of previous management experience at either a supervisory or office management level. Previous Women’s Health or infertility experience preferred.
  • Must be able to provide clear direction and set clear expectations for staff when providing information or feedback.
  • Strong computer skills, ability to use basic office equipment.
  • Strong ability to follow procedures and protocols is essential.
  • Must be organized with a strong ability to multi-task, prioritize, have strong attention to detail and a strong ability to utilize time efficiently.
  • Must have a strong ability to act independently as well as be able to work effectively in a team.
  • Must have excellent customer service skills, exhibiting courteous, compassionate, and respectful treatment of internal and external customers at all times.
  • Must consistently display a positive attitude and flexibility in changing situation.
  • Must have excellent communication skills and make it a priority to consistently communicate positively and professionally with all staff members, physicians, and patients.
  • Must demonstrate the ability to be a team player and possess a willingness to perform duties that are assigned or delegated in a timely manner.
  • Participate in identifying problems and suggesting solutions.
  • Maintain confidentiality of all work information.
  • Maintain strict confidentiality for all patient and clinic information, consistent with established security and confidentiality policies and HIPAA regulation at all times.
  • Understand and assess for domestic violence and child abuse issues and reporting responsibilities. Will report concerns to Medical Director and Executive Director.
  • WORK ENVIRONMENT :

    This job operates in a professional office and clinical setting with frequent use of medical instrumentation and equipment, supplies and materials. This role routinely uses standard office equipment such as computers, including computer keyboards and mice; telephones, photocopiers, scanners, and filing cabinets.

    The duties of this position involves an inherent potential for mucous membrane or skin contact with blood, body fluids or tissues or a potential for spills and splashes from them. Appropriate protective measures are required for every employee engaged in these tasks. The duties of this positon also involve occasionally exerting 75 pounds of force, and / or up to 35 pounds of force frequently.

    While performing the duties of this job, the employee is regularly required to talk, see, and hear. The employee is frequently required to sit; will frequently stand and / or walk; use hands and fingers to grasp, pick, pinch, type; and reach with arms and hands. Employee is required to have close visual acuity to perform an activity such as : preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; operation of standard office machines and equipment.
