What are the responsibilities and job description for the Construction Contract and Truck Licensing Coordinator position at CDA Paving and Concrete Specialties?

JOB PURPOSE:
Construction Contract and Trucking Licensing Coordinator manages the administrative aspects of construction projects and the licensing of a large fleet of trucks. This person works closely with sales, customers, and crews to ensure seamless communication, proper job costing, and invoicing. Also responsible for Department of Transportation (DOT) licensing for heavyweight and out-of-state permits, as well as facilitating the registration of our commercial motor vehicles within the International Registration Plan (IRP).
ESSENTIAL FUNCTIONS:
· Answer phones and greet customers in our energetic corporate office setting
· Manage the lifecycle of contracts, from initial drafting to termination
· Track contract milestones, deadlines, and obligations
· Maintain accurate and organized contract records
· Work directly with estimators and crews to ensure smooth contract execution
· Monitor job progress from set up to finalized billing
· Ensure all tracking software contains accurate information for job costing
· Work directly with the Superintendent and Estimators to ensure information is up to date for all parties involved
· Maintain Department of Transportation (DOT) licensing for the fleet and heavy equipment is up to date and in compliance
· Maintain the Internation Registration Plan (IRP) is up to date and within compliance
· Assist with other special projects as needed
REQUIREMENTS:
· Attention to detail
· Organization, vigilant monitoring of a contract’s lifecycle
· Good understanding of contract law and compliance
· Intermediate understanding of accounting; invoicing and accounts receivable
· Solid communication skills, able to speak with customers, estimators, and crew members
· Ability to collaborate with sales and production crews
· Keen analytical and oversight skills
