Position : Payroll & HR Specialist

Job Classification : Exempt

Reports to : Human Resources Director

Summary :

The Payroll & HR Specialist plays a key role in supporting the Human Resources Department, with a primary focus on payroll processing, performance management, and benefits administration. This position ensures accuracy in payroll operations while providing exceptional support to employees regarding HR and payroll-related matters.

Responsibilities and Duties :

Payroll Processing & Compliance

  • Process biweekly payroll and off-cycle runs using ADP Workforce Now.
  • Review and verify timecards, payroll deductions, voluntary / involuntary garnishments, and other exceptions.
  • Monitor and process cost-of-living adjustments, performance-based increases, summer pay, benefit deductions for employees on leave and any other deductions or incentives.
  • Ensure accurate processing of income verifications, Public Service Loan Forgiveness applications, and childcare income verifications.
  • Prepare, process, and verify year-end payroll requirements and tax documentation.
  • Conduct weekly overtime audits and track various types of paid leave (PTO, jury duty, bereavement, etc.).
  • Maintain accurate tax records for all applicable jurisdictions.
  • Process and track pay, location, and position changes for employees.
  • Respond to employee inquiries regarding payroll issues or concerns.

Performance Management & Benefits Administration

  • Oversee the performance review process, including creating, launching, and tracking evaluations in ADP Performance Management.
  • Attend weekly director meetings to review progress.
  • Calculate and process pay increases based on performance evaluations.
  • Serve as the primary point of contact for benefits enrollment, including new hires, life events, and open enrollment periods.
  • Utilize HRIS platforms such as Employee Navigator and Equitable to manage benefits enrollment and updates.
  • HR Support & Administration

  • Provide administrative support to the Human Resources department.
  • Respond to employee inquiries professionally, accurately, and in a timely manner.
  • Ensure compliance with company policies and procedures as outlined in the policy manual.
  • Support other HR initiatives and / or projects as assigned.
  • Qualifications / Requirements :

  • Associate’s degree in business, human resources or related field.
  • Experience with ADP Workforce Now strongly preferred
  • Knowledge of existing pay-related federal and state laws and / or regulations, including Department of Labor regulations.
  • Excellent interpersonal, organizational, and time management skills.
  • Superior verbal and written communication skills.
  • Ability to work independently and collaboratively.
  • Must possess or obtain required state and federal background clearances.
  • Proper attendance is required. Employees are expected to arrive on time, every day, able and available to work.
  • May require travel to other centers within the organization.
  • Physical Requirements :

  • Must be able to stand for long periods throughout the workday with intermittent periods of sitting, walking, and occasional bending, twisting, stooping, reaching and grasping as necessary to carry out essential job duties.
  • Dexterity requirements range from coordinated movements of fingers and hands to simple movements of feet, legs, and torso as necessary to carry out essential job duties.
  • Lifting and carrying of children and / or objects up to 50 pounds.
